Randolph-Macon College, a private, co-educational liberal arts institution, invites applications for a full-time Administrative Assistant for Alumni Relations.
This position reports to the Assistant Director of Alumni Relations and assists in the cultivation, solicitation, and stewardship programs initiated by the department, which are of the highest caliber.
The Administrative Assistant for Alumni Relations will be responsible for the collection and publication of class notes, the tracking, logistics, and preparation for events, and the day-to-day operational support of the Office of Alumni Relations.
Essential Duties include :
- Supports the Office of Alumni Relations with production and distribution for event mailings, registration tracking, necessary logistical support, and attendance follow-up for alumni and donor events.
- Queries the development database, generating event lists and mailing lists as requested by Alumni Relations staff. Is or becomes proficient in the use of Raiser's Edge NXT, an alumni and fundraising platform.
- Manages an accurate mailing / reporting calendar and production log for projects to provide long-term assistance in project management and statistical tracking.
- Coordinates the collection of class notes for publication in the RMC Alumni Magazine.
- Assists with edits to the Alumni Office webpages.
- Handles and processes logistics for printing and framing of alumni awards.
- Assists with processing invoices for payment.
- Interacts with departmental colleagues, with other college staff members and with key volunteers and alumni.
- Performs other duties as assigned by the Assistant Director of Alumni Relations, Executive Director of Alumni Relations, and the Vice President of College Advancement.
Qualifications :
- Non-profit experience is preferred with preference given to experience in higher education.
- A Bachelor's degree is preferred.
- Should possess strong interpersonal and organizational skills.
- Ability to meet deadlines, persuasive writing and speaking skills.
- A desire to work with computer databases and proficiency in Microsoft Office (specifically Excel, Power Point and Publisher).
- Ability to interact with donors and volunteers, and an understanding and excitement about the process of solicitation and relationship-building through cultivation.
- Individual should possess a high energy level, initiative, and an appreciation for the purpose and values of a traditional residential college.
- Flexibility and a willingness to accept night and weekend work are requirements.
