1 Job Summary / Scope : The Hospital Development programs are essential to maximizing the opportunities for donation and donation potential through education and outreach to nursing programs and designated service area hospitals.

The Hospital Development Coordinator is responsible for fostering and promoting organ, tissue, and eye donation with the express purpose of providing education to healthcare professionals to create donation awareness, nurturing positive relations, and providing education to DSA hospitals to maximize donation and donation potential.

The Hospital Development Coordinator is responsible for planning, directing, development and professional education programs in hospitals served by ARORA.

This includes meeting with key hospital personnel to develop an understanding of the flow of decision-making within the institution as it relates to donor activity.

Services provided by the Hospital Development Coordinator : data analysis, independent development of customized strategic plans for hospitals, implement marketing strategies with key partners, guiding hospital personnel in the development and implementation of donation recovery policies and procedures, guiding hospital-based process improvement plans related to organ, tissue, and eye donation, providing donor education and awareness programs to hospital personnel, conducting donor and / or referral follow-up conferences and meetings, and evaluation of missed donation opportunities.

The Hospital Development Coordinator must be capable of working with a high degree of autonomy, developing and monitoring their own work schedule, carrying out program plans with limited to no direct supervision, and capable of interacting effectively with all levels of hospital staff from the CEO to line staff.

Essential Functions :

1. Exercises discretion and has the authority to formulate, affect, interpret, or implement management policies or operating practices as it relates to development strategies with hospitals and schools.

2. Responsible for strategic assignments with respect to programs aimed at development and outreach for the mission of ARORA with medical personnel and hospitals.

3. Designs and implements a unique strategic plan per regulatory standards and education programs (examples include : new nurse orientation, targeted in-services, and annual professional education) for designated hospitals that will optimize organ, tissue, and eye donation.

a. Regularly conducts on-site visits to assigned hospitals as scheduled. b. Utilizes judgement to adapt strategic plans for individual hospital institutions unique situations and constituency.

This includes developing strategies based on an individualized assessment and analysis of data and records. c. Ensures assigned hospitals have the following donation policies including, but not limited to : OTE referral process, brain death declaration, Donation after Circulatory Determination of Death (DCD) or transfer for a potential DCD.

4. Responsible for reviewing records and determining if hospitals are following operating procedures and / or are not optimizing donor potential.

a. Analyze and verify monthly reporting data for designated hospitals to formulate hospital preventative / corrective action plans and strategy to help the hospital improve and communicate with the hospital about the strategy on behalf of ARORA.

b. Conducts medical record reviews in compliance with regulatory standards and ARORA SOPs. c. Sends monthly referral census and dashboards to appropriate hospital representatives.

Guides process improvement / corrective action plan within assigned hospitals for identified process variances. d. Updates internal information systems with missed opportunities and corrective action plans.

e. Conducts regular meetings with hospital administrators / CEOs / physicians in all assigned hospitals to discuss results of medical record reviews, process improvement strategies , advise on policy and procedure of legislative updates, advise on development / revision of hospital policy and procedures related to organ, tissue, and eye donation, and when appropriate request renewal or initiation of Memorandum of Agreement with ARORA.

5. Communicates outcome for organ / tissue donors to involved hospital personnel and appropriate administrative personnel.

6. Facilitate After Action Review meetings with key hospital personnel.

7. Provides accurate and timely documentation of interactions in ARORA’s designated EMR system.

8. Keeps current contact information for key hospital personnel in ARORA’s designated EMR system.

9. Works in collaboration with ARORA staff and hospital personnel during referral and case activity to ensure environment is optimum for maximizing donation potential.

a. Reports to hospital to help with conflict resolution and create cohesive donation experience. 10. Employee must be self-directed, setting their own schedule of activities, and capable of interacting effectively with hospital personnel and general public.

Secondary Functions :

1. Responds to referrals, rounding, case activity, etc. at designated or directed location. a. Each referral assigned is appropriately evaluated, triaged, and documented accurately as outlined in ARORA procedures.

b. Obtains accurate medical information for evaluation of potential donors. c. Notify appropriate ARORA staff of referral status, outcome, and / or analysis.

d. Documents findings in the electronic donor record. e. When on site evaluating a referral will assist hospital staff to maximize donation through education about Best Practices, Clinical Triggers, etc.

i. Facilitates ongoing communication with the health care team leading up to a donation conversation with the Authorizing Person / Legally Appropriate Person (AP / LAP).

ii. Interacts with potential donor families in a manner that respects human dignity and shows reverence for life.

2. Maintains communication (written or verbal) as necessary with all appropriate members of the ARORA team to ensure : a.

Administrator on call is aware of changes in patient’s status so on-going assessment of donation potential occurs. b. All appropriate members of ARORA team are aware of imminent donation opportunities, patient’s plan of care, and any changes with donation potential.

c. Team members are aware of any difficulties, challenges, or need for intervention to facilitate optimal donation processes within hospitals in their coverage area.

3. Assists with the transfer of donors as required.

4. Promotes organ, tissue, and eye donation within assigned hospitals; may include special events.

5. Oversees DCD donor process within assigned hospital or as otherwise requested.

6. Provide coverage for unassigned hospitals as needed.

7. Provide backup coverage to hospitals as needed.

1. Maintains regular and punctual attendance at assigned work location. a. Accurately document timekeeping records.

2. Completes and maintains appropriate documentation in a timely and thorough manner including activities. Examples include : training documentation, mileage, expenses, electronic schedule of ARORA events, and other forms.

3. Exhibits and models ARORA’s conduct standards, mission, and organizational clarity (core purpose, core values, business definition, and strategic anchors) in all job functions and interactions both internal and external to ARORA.

a. Utilize the ARORA strategic anchors : Creating a Culture of Donation, Financially Sound and Quality during work activities and in the decision-making process.

4. Attendance at staff meetings, training programs, and / or in-services meetings, as required.

5. Demonstrates professional appearance, behavior and standards in all business dealings and interactions.

6. Demonstrates professional conduct and behavior reflective of ARORA’s respect, honor, admiration and reverence for the donor and donor family.

7. Fosters effective relationships with client representatives.

8. With the approval of division Director, serves on national committees.

9. Performs other duties as assigned.

1. Risk Exposure to Blood / Body Fluids : While performing some essential functions of your position, you may be exposed to blood or body fluids.

5. Competency Evaluation : Competency evaluations are required for this position. Your supervisor will notify you when your evaluation is to be conducted.

6. Training : You may need additional training to better understand the performance requirements of your essential job functions.

Training classes are available and can be requested and / or assigned. Your attendance at such classes is mandatory.

Work Environment :

1. Works in normal office environment.

2. Works in various locations, including normal office environment, hospital, and other locations as essential and secondary functions necessitates.

3. Frequent travel required by personal vehicle to fulfill the duties and responsibilities of the position.

4. Required to carry a cellular telephone for business purposes.

5. Non-smoking office. Work Hours Extensive travel, some overnight. Forty-hour workweek with occasional weekends, holidays, or evenings.

Minimum Job Requirements :

1. Baccalaureate degree in a related field such as hospital administration, pharmaceuticals, etc., or a Registered Nurse with a minimum of two years’ experience.

2. Prefer experience in hospital development, hospital marketing, or business relation management.

3. Maintain a valid driver’s license, reliable automobile, and proof of automobile insurance.

4. Must maintain required vaccination and / or health screenings to minimize the potential for disease transmission.

5. Proficiency in public speaking before a variety of audiences.

6. Intermediate computer skills.

7. Consistent demonstration of attention to detail, precision, accuracy, and customer satisfaction.

8. Possess strong prioritization skills and the ability to effectively manage multiple projects and tasks.

9. Ability to utilize general office equipment, software, and must be proficient in Microsoft Office Suite.
