Do you want to help us build the DNA of tech? Vishay San Jose, CA is currently seeking applicants for a Temporary Administrative Assistant .
Responsibilities :
Administrative support across the organization including Department Managers and Employees Worldwide. Duties include but are not limited to tasks such as acquiring and compiling data, preparing reports, coordinating meetings for departmental staff, reserving conference rooms or A / V equipment, making travel arrangements, ordering supplies, filing and records maintenance, and managing incoming and outgoing mail.
Develops, publishes, and maintains key measurement charts and data. Provides analytical and specialized administrative support.
What you will be doing :
- Prepares monthly reports.
- Administrative support in the main lobby. Welcoming visitors and guests and directing them to the right contact.
- Answering and transferring phone calls to the correct department and taking messages.
- Files, organizes, coordinates, and assists in meetings.
- Prepares and develops timelines, charts, and graphs as necessary to evaluate business conditions, including but not limited to macros, pivot tables, and vlookups.
- Set up domestic & international travel accommodations and complete expense reports.
- Set up / arrange departmental lunch / dinner.
- Coordinates processing of Purchase Requisitions and Orders.
- Receive incoming mail / packages, sort, and deliver to recipient.
- Prepare shipments for outgoing mail / packages.
- Support administration of QMS process.
- Support Division QMS Head on business process workflow.
- Maintain record files / documentation. Maintain QA log and index.
- Organizes, coordinates, and assists in meetings.
- Support Business Process Automation project.
- Support in the revision process of QMS documents.
- Support preparation of San Jose’s yearly DNV - 3rd party audit.
- Monitor timely closure of SJ Internal Audit non-conformances.
- Support Division Audit Management Improvement Project
- Maintain KPI / Charts Audit metrics.
- Monitor Business Process Improvement, CAR issues, Customer N / C’s.
- Help with monthly Audit Steering committee meeting.
- Performs other receptionist special tasks and projects as assigned.
What you will bring along :
Ideal candidate will have an associate's degree, Bachelor preferred, along with 2-4 years of professional business office experience.
Must have a pleasant personality, excellent verbal and written communication skills, organizational skills, the ability to multitask and prioritize workload.
Able to work independently, accountable, dependable, and take appropriate action in accordance with direction and standard practice.
Intermediate / advanced knowledge in the use and operation of computers and software applications including Microsoft Word, Excel, Access, PowerPoint, and SharePoint.
Promis and SAP are a plus.
Requires the ability to work with confidential documents and understand company procedures.
