Job Description

AdvancedEV in Dallas, TX is currently seeking a dynamic Executive Assistant to provide comprehensive support to our Company / Executive Team.

This is a unique opportunity to work closely with Company / Executive Team and contribute to the efficient operation of our corporate office.

This position will provide a wide variety of administrative tasks, and the ideal candidate in this position will need to be adaptable, self-motivated, be highly organized, friendly, collaborative, and work well under pressure.

Strong computer skills and proficient in Microsoft Office Suite : Word, Excel, PowerPoint, Outlook.

Candidates who have NetSuite experience are highly desired.

Responsibilities :

This position will report to the Project Manager. This role will be divided between daily office duties and aiding with administrative assignments that support the CEO, to be assigned by the Project Manager.

  • Provide administrative and operational support to the Project Manager and the CEO
  • Coordinate meetings and schedule business travel (international and domestic); including making dinner and event reservations
  • Entry and the submission of expense reports for various team members
  • Serve as main point of contact for local property / building management service requests and office building communications to employees
  • Manage supply vendors and service contractors, and provide on-site direction as needed
  • Provide general administrative and hospitality support to company employees and guests
  • Provide reception and front-desk duties, such as greet guests, accept deliveries, manage mail, and express mail services, and be aware of the daily operations of the office
  • Order in-office meals for meetings, and execute set-up and clean-up
  • Aid with Monitoring, procuring, and restocking of breakroom and office supplies
  • Maintain all common areas including conference rooms and tidy spaces, as needed
  • Prepare Word, Excel, PowerPoint presentations, agendas, and other documents that support the objectives for the organization
  • Organize, promote, and provide on-site staffing and support for TX-office based events
  • Manage ongoing employee appreciation efforts birthdays, work anniversaries and other events
  • Running errands as needed - Post office, townhome, other site locations etc.
  • Other duties as assigned

Standard Hours of Operation : Monday - Friday, 7 : 00 AM - 4 : 00 PM
