Job Description
Harbor is looking for a registration Specialist who is able to greet OhioMeansJobs Customers, check in for services, perform eligibility and data coordination duties, data entry and reporting responsibilities, and works with internal and external customers to deliver information related to OMJ service.
Position is full-time.
Education / Experience / Other Requirements :
- An associate’s degree in applied business or closely-related field is required, or may substitute four years of closely related experience for associate’s degree.
- An additional two years of customer service experience in health / mental health care is preferred.
- Must be able to communicate clearly and accurately with a variety of individuals.
- Must be able to type accurately.
- Strongly prefer prior computer / PC experience using Microsoft word processing, spreadsheets, and computerized billing systems.
- Must be honest, dependable, self-disciplined, organized, possess good communication skills, and be able to work well as a team member.
- Must be able to work independently and meet deadlines.
Essential Job Competencies / Primary Duties :
- Answers all calls in a professional, warm, courteous, and efficient manner. Transfers calls to Voice Mail or takes accurate written messages and proper and prompt delivery.
- Ensures that OMJ customers are checked in and announced to appropriate staff person; Provide any necessary follow-up and ensure the customer is attended to in a timely manner.
- Provides quality and timely support to both internal and external customers and strives for customer satisfaction.
- Assists with the development and maintenance of tracking systems for OMJ programs, statistical data to assure effective / efficient program operation, and a detailed, accurate record of OMJ program services provided.
The consumer tracking systems will also incorporate a Program Evaluation System which will include measurable outcome data for demographics and the OMJ program process in terms of both quantity and quality of services provided as they relate to primary program goals (i.
e., processing participant surveys, gathering and entering OMJ related data into spreadsheets, processing weekly OMJ goal sheets).
- Assists with verifying and obtaining information related to employment verification for OMJ customers. Notifies program coordinator of missing eligibility information and tracks missing information.
- Ensure all customers check in and out when accessing services, captures information on services receiving, and may assist with customer satisfaction survey process.
- Maintains cleanliness, organization, and physical appearance of OMJ resource room, conference rooms, classrooms.
- Enters new customers information and updates customer information in data base, and maintains accurate placement information in the employment data base.
- Assists with events, job fairs, and professionally greets and welcomes partners accessing services at OMJ.
- Assists with assembling OMJ hand-outs and information packets.
