Job Description
GENERAL SUMMARY OF DUTIES : THe HR administrative assistant provides support to the Human Resources department and corporate office by handling a variety of administrative duties, ensuring the smooth operation of HR-related functions.
The role is essential in maintaining efficient HR processes and provides in office support.
Understand and embrace the mission of SPARC, affiliate organization(s), and their role in the industry and local and greater communities.
SUPERVISION RECEIVED : Reports to Senior Human Resources Manager.
SUPERVISION EXERCISED : None. Self-directed.
EXAMPLE OF DUTIES : (This list may not include all of the duties assigned.)
Human Resources
Organize and maintain HR employee records and databases.
Generate reports from HR databases as required.
Assist in creating and updating HR-related forms and documents, including company newsletter.
Administer employee onboarding and offboarding process and ensuring completion, issue employee badges, communicate onboarding / offboarding requests to IT and Security.
Assist with payroll processing and timekeeping by acting as backup payroll processor and maintaining accurate timekeeping data.
Assist Management in recruiting staff, including posting job requisitions, extending offer letters, reference checks, and background checks.
Act as an additional point of contact for employee inquiries regarding HR matters.
Assist in scheduling and auditing benefits enrollment, training, and performance review management.
Perform the above duties in concert with the Sr. HR Manager.
Assist Sr. HR Manager with executing employee engagement activities.
Office Support
Send / receive office correspondence.
Receive packages and check in visitors.
Keep an accurate calendar of important dates and deadlines for HR, including in / out of office times. Plan for absences accordingly.
Order office supplies and maintain food, snacks and drink ordering for the breakroom.
Maintain strictest confidentiality.
All other duties as assigned.
Requirements

Knowledge, Skills and Abilities
Learn and understand company policies and procedures.
Communicates effectively : verbal, listening and written. Ability to write professionally with proper grammar, spelling and professional formatting.
Strong attention to detail : Meticulous in checking work to ensure accuracy and completion.
Knowledge of logic arithmetic to make calculations.
Excellent computer skills, including proficiency operating PCs and Google suite.
Ability to work effectively independently, as well as with staff.
Ability to exercise initiative, problem-solving, and decision-making, and know when appropriate.
Ability to be flexible, organized in a fast-paced work environment, aids in reducing office stress.
Ability to adhere to the highest level of professionalism with staff (including executives and peers) at all times.
Ability to maintain high standards at a quick pace in a constantly changing environment.
Ability to take direction from multiple sources, evaluate priorities, clearly communicate estimated task completion time, and update on progress.
EDUCATION / EXPERIENCE : High School diploma or equivalent. Related experience and / or training; or equivalent combination of education and experience preferred.
Working knowledge of computer programs as described. Typing ability of 50 wpm. Must be at least 21 years old and pass a criminal background check.
CERTIFICATES / LICENSES : None.
TYPICAL PHYSICAL DEMANDS : Work may require prolonged sitting, some bending, stooping and stretching. Requires eye-hand coordination and manual dexterity sufficient to operate a computer, photocopier, time clock, telephone, calculator and other office equipment.
Requires normal range of hearing. Requires close vision with the ability to see color and adjust focus. Requires lifting up to 20 pounds occasionally.
TYPICAL WORKING CONDITIONS : Work is performed in an administrative office for multiple on and off-site cannabis-related facilities.
Involves frequent contact with staff. Work may be stressful at times. Position requires regular availability to work Monday through Friday during regular business hours and occasional nights, weekends, holidays, and / or events.
The position is full-time and will require overtime on occasion.
