The Executive Director is a pivotal leadership role responsible for guiding the operations of the association, including its realty subsidiary, in compliance with all Federal, State, and local laws, as well as the association’s governing documents, policies, and procedures.
This position is responsible for ensuring the highest level of security and service for the association.
Essential Duties : Financial
Financial
o Oversees the annual budget process. Reviews and approves all staff wage and salary and benefits programs and annual increases.
o Oversees the biannual Falcon Engineering study updates on capital replacement and maintenance reserve funds. Makes suggestions for new or corrected entries.
o Ensures departments’ spending stays within annual budgets.
o Assist with the development and execution of strategic financial initiatives.
o Review legal contracts and negotiate vendor terms, agreements, and renewals as needed
Operational
o Responsible for project planning and implementation to support any policy changes and current Strategic Plan goals and objectives.
o Oversee the dining operations : dining rooms and café.
o Develop and manage requests for proposals (RFPs) to support large community-wide projects.
o To support cost efficiency, ease of use, and business management, propose and lead the advancement of technology used by staff and residents.
o Ensure that the required systems, processes, and procedures are in place to support effective, efficient, and compliant association operations.
o Responsible for carrying out directives from the President and Board of Directors.
o Assist the Sales and Marketing department with marketing efforts.
o Manage the IT program of the Association for staff and residents.
Human Resources
o Provide direct reports with an annual performance appraisal, a midyear performance assessment, and feedback as needed.
o Coach, mentor, supervise, and evaluate subordinates to ensure that the highest standards are maintained.
o Responsible for approving timecards for direct reports accurately and on time to ensure that payroll and employee records are accurate and up to date;
responsible for timecards for the department subordinates of direct reports if the manager is unavailable.
o Serve as one of the Trustees for the 401K Retirement Plan.
o Ensure that staffing in each department supports the needs of the community.
Resident Responsiveness
o Participate in Association Committee Meetings and work with Committee Chairs and Board members as needed.
o Resolving Resident issues in compliance with established policies and procedures.
o Directing the activities of daily living in a manner consistent with the policies determined by the Board of Directors, and the Master Deed and By-Laws of the Association.
o Interface with residents under all conditions with compassion and patience.
Security and Safety
o Ensure all facilities and community security and safety operations and procedures are in place and posted according to all legal requirements
o Train and inform residents of all safety and security procedures.
o Be on call 24 / 7 to respond to community emergencies with the ability to act quickly and appropriately in emergencies.
o Oversee the employee safety committee.
Secretary
o Ensure the adherence to the Radburn Law, HOA., and applicable Federal and State condominium law changes.
o Provide required announcements to committees, residents, etc.
o Keeper of the Master Plan and By-laws, including amendments and all policies and procedures.
o Supervise the Assistant Secretary of PWCA, Inc.
Skills
o Proven experience in senior leadership roles with a track record of successful business development.
o Strong strategic planning capabilities with an emphasis on long-term visioning.
o Expertise in process improvement methodologies to streamline operations.
o Exceptional project management skills with the ability to oversee multiple initiatives simultaneously.
o Demonstrated operations management experience in a complex organizational setting.

Direct Reports
Directly responsible for eight senior-level managers and directors, an administrative assistant, an IT assistant, and responsible for all employees on a broader scope.
Education and Experience :
o A bachelor’s degree or MBA in Business Administration or a related field.
o Professional accreditation such as MBA, Senior Living Certification, or CMCA (Certified Manager of Community Associations) is preferred.
o A minimum of 3 years of experience with facilities management.
o A minimum of 10 years of progressively responsible professional experience in an administration leadership role (preferably in one of the following industries : real estate, condominium management, healthcare, hospitality, non-profit, club management, or senior living) and have managed a minimum of five director or manager level subordinates.
Physical Requirements, which are essential functions :
Work a minimum of 40 hours per week onsite and must be available and on-call 24 / 7.
o Occasionally required to stand, walk, use hands and fingers, and reach with hands and arms.
o Prolonged periods of sitting at a desk and working on a computer using a keyboard, calculator, or telephone.
o Mental and visual concentration for computer usage and reading / assimilating information.
o Requires near- and mid-range vision and the ability to talk and hear.
o Must be able to lift up to 20 pounds.
