Performs a varied of skilled clerical and administrative duties in support of a department, school / college, program or unit.
Serves as administrative liaison with others outside the department. Performs work of a confidential nature, and exercises initiative.
Has knowledge of department / unit / program practices and policies. Regularly performs a significant amount of work that requires a degree of expertise.
Responds to inquiries. Researches information to resolve problems or issues. May perform bookkeeping tasks related to department budgets.
Organizes & coordinates events which may include creating timelines; collecting agenda items & background materials; coordinating itineraries involving travel.
May prepare / coordinate annual event(s), conference(s) & / or meetings. May oversee student employees.
Position Specific Responsibilities / Accountabilities
- Events : Scheduling and managing university events (mazevo.com); supporting Institute events with scheduling, set-up, catering, and other coordination as needed.
- Institute space : Assisting with preparation of physical space within Institute for visiting scholars and artists (includes coordination with FM, clean-up);
coordinating placement of rotating artwork, as needed.
- Administrative tasks : Take minutes for Advisory Council meetings, manage emails (MarymountInstitute.lmu.edu); travel arrangements, calendar for MI Director and Institute, follow up with campus partners as needed on various collaborations.
- Budget : Reconcile budget and manage receipts for Institute (Workday); complete end-of-year financial tasks as required by university.
- Website : Assist MarComm with revisions and updates to MI website, update printed materials as needed. Social media skills would be an asset for event promotion.
- Basic research : Work with library to hand over archival material, read and review materials related to RSHM and MI to inform work with Institute.
- Perform other related duties as assigned : Flexibility needed, within reason, for support on other tasks, yet unidentified, as needed, in order to address the goals of the Marymount Institute.

Requisite Qualifications
- Typically a bachelor’s degree or equivalent experience. Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation / policy changes.
- Four years of administrative support experience.
- Exemplary communication skills (both written and oral) evidenced by background in preparing comprehensive reports and executive summaries incorporating complex, highly technical information.
- Highly developed organizational and leadership skills.
- Demonstrated computer competency and preferably knowledgeable of relevant systems.
