We are currently in search of a Medical Records Coordinator at our Administrative location.
What you will do :
- Receives incoming requests for information and responds to requests in a timely manner.
- Provide excellent customer service as well as maintaining the highest level of quality and security for internal and external customers.
- Validates request and authorizations for release of medical information according to established procedures and HIPAA guidelines.
This includes appropriate documentation during the handling of medical records. Successfully transmits medical records to requestor, confirming receipt as necessary.
- Establishes and maintains good rapport with providers, office staff and outside entities.
- Maintains knowledge of current state laws regarding fee structure and HIPAA regulations as well as facility policies and procedures regarding release of information.
Attends HIPAA related educational training sessions and staff meetings as scheduled and assigned.
- Works with internal teams on assignments / projects that affect the greater good of the organization, using their scope of knowledge to assist as appropriate.
- Maintains confidentiality, information security and ethical behavior when handling all Company and medical records information during transport, storage and disposal.
Ability to adapt to change and respond to difficult and challenging situations in a professional manner.
- Ability to work with minimal supervision, organize workload and prioritize work tasks to meet production goals.
- Follows all rules and regulations within employee handbook and code of ethics.
- Assist in creating, revising, implementation of Medical Records policies including, but not limited to : record request policy, record amendment policy, and record amendment approval / denial process.
This also includes policies surrounding proper destruction of paper records.
- Assist payers with on-site visits for internal audits and set up payer audits.
- Responsible for implementing plan to use electronic methods of sending as often as possible, for medical record transmissions.
- Responsible for implementing direct billing parameters for record requests. (Patient requests, attorneys, government agencies, etc.)
- Other duties as assigned.
PERFORMANCE REQUIREMENTS :
- Knowledge Of :
- Organizational policies, procedures, systems.
- HIPAA rules and regulations.
- State and Federal laws regarding billing parameters.
- Regulations regarding proper transmission of medical records.
- Regulations regarding proper destruction of medical records.
- Proper handling of all medical records.
- Requirements for sending the minimally necessary information.
- Electronic Health Record System.
- Skills in :
- Problem solving, critical thinking, written and verbal communication.
- Creating basic volume reports.
- Written and verbal communications.
- Problem solving and the ability to pay extreme attention to detail.
- Understanding HIPAA guidelines.
- Processing payment from patients and / or other non-patient entities.
- Abilities to :
- Establish priorities and coordinate work activities.
- Work effectively with physicians, staff, public and external agencies.
- Communicate effectively to patients of varying cultures, psycho-social needs and ages.
- Establish / maintain effective relationships with staff at all levels.
- Work independently as well as with various internal teams.
- Understand and be familiar with Release of Information standards, policies and procedures and HIPAA regulations, and to complete work in compliance of these and other standards.
This includes the ability to handle sensitive and confidential information in a professional manner.
EDUCATION :
- High School diploma required.
- Bachelor’s Degree in related field such as Health Information Management, Health and Humans Services, Information Security, etc.
preferred, but not required.
EXPERIENCE :
Two to three years’ experience in Medical Record handling. Three to five years’ experience working in a health care field preferred.
