POSITION PURPOSE :

To provide highly responsible clerical, administrative and supervisory support to all areas of the Human Resources Department.

Perform both routine and non-routine administrative support as needed in direct support to the Executive Director of Human Resources.

To function and carry out designated responsibilities with limited supervision with high levels of accuracy, confidentiality, and professionalism.

MINIMUM QUALIFICATIONS :

High School Diploma or equivalent and two-years related work experience OR Associate’s Degree and two years of working experience coordinating medical leave and leave of absence programs.

  • Demonstrated ability to maintain strict confidentiality.
  • Confidence and ability to work independently with minimum supervision, to anticipate needs and work productively on projects and deadlines.
  • Ability to work efficiently and effectively under pressure in a fast paced and ever changing working environment.
  • Demonstrated ability in customer service skills and maintain effective working relationships with staff and the general public.
  • Ability to calmly and diplomatically deal effectively with irate and angry applicants or the general public; ability to problem solve.
  • Proficient in keyboarding.
  • Knowledge of state, federal and district employment practices procedures and guidelines.
  • Ability to perform complex projects and assignments and prepare detailed reports.
  • Ability to organize and set priorities, attend to detail and follow a wide variety of tasks through to completion.
  • Ability to provide direction and training to other staff.
  • Knowledge of correct grammar, spelling and English usage.
  • Ability to attend to detail and follow tasks through to completion.
  • Skill in operating a variety of office equipment.
  • Effective oral and written communication skills.
  • Ability to maintain accurate records and mathematical computations.

EDUCATION, TRAINING, AND EXPERIENCE :

  • At least two years of working experience in office administration
  • Any equivalent combination of training and experience which provides the required knowledge, skills and abilities.

CERTIFICATION AND LICENSE REQUIREMENTS :

Must possess a valid driver’s license issued by the NC Department of Motor Vehicles

PREFERRED QUALIFICATIONS :

  • Bachelor’s Degree in Human Resources
  • SHRM Certification
  • NC Notary

ESSENTIAL DUTIES AND RESPONSIBILITIES :

  • Verify that all pre-employment forms are completed (I-9, Health, Tax, References, etc.)
  • Process criminal record background checks for new classified employees
  • Enter new employees’ information into LINQ (HCM data System)
  • Process employee staff actions; folders; new hire / reemployment; assignment changes, additional assignments, salary changes, and resignations
  • Accurately enter appropriate information into applicable computer programs to ensure that the employee’s information is up to date; demographic change
  • Complete Verification of Employment requests; create Verification of Employment letters for various purposes
  • Complete PSLF (Public Service Loan Forgiveness) forms
  • Schedule and complete I-9 appointments and Orientations as well as forms
  • Process request for Contract / Non-ABSS employee account creations
  • Investigate budget codes and position numbers when needed
  • Create new employee numbers when needed
  • Complete resignation process; email, letter, CEU’s, Licensure info, Personnel Report etc.
  • Post positions and deactivate as needed on Applicant Tracking System
  • Assist with orientation, collection of paperwork, and other assigned tasks
  • Performs other duties as assigned by the Executive Director of Human Resources.
