Job Summary :
Under general supervision, arranges and facilitates special events and activities and controls an event from conception to clean up.
The Special Events Assistant coordinates details of events such as conferences, weddings, birthdays, anniversaries, charity events, surprise parties, trade shows, sales meetings, business meetings, employee appreciation events, and virtual events.

Example of Duties & Responsibilities :
Duties may include, but are not limited to, the following :
- Plan, coordinate and implement various types of events and activities
- Anticipates project needs, discerns work priorities, coordinates and monitors event timelines, and ensures deadlines are met
- Initiates, coordinates, and / or participates in all efforts to publicize event
- Assists in the design and editing of a variety of programs and promotional materials, and works with internal partners to develop these materials
- Identifies and maintains files on organizations with potential for utilization of City facilities
- Deal tactfully and effectively with staff, participants and the public
- Performs other related duties as assigned
- Setup and take down events
- Work with contractors to ensure logistics for events are correct
Required Skills :
- Knowledge of basic management skills in organizing various events
- Knowledge of basic principles, practices, and techniques of public relations
- Knowledge of all types of media utilization for publicizing events
- Ability to project needs of events in order to secure all the appropriate staff
- Communicate clearly and effectively, both verbally and in writing
Education and Experience :
- Any equivalent combination of education and experience that provides the knowledge, skills, and abilities necessary for acceptable job performance
- Currently enrolled in a college or university majoring in a related field is desirable
