DESCRIPTION

DEPARTMENT OVERVIEW

Enrollment Management (EM) is a multi-unit department within the Office of the Executive Vice Chancellor-Academic Affairs.

The department is led by the Associate Vice Chancellor for Enrollment Management (AVC EM), who serves as the Chief Enrollment Officer and Chief Outreach Officer of the University.

EM comprises multiple high-profile, core functional units including : the Office of Undergraduate Admissions, Office of the Registrar, Financial Aid & Scholarships Office, Cal-SOAP, Creative Services, Enrollment Analytics, and the Business Office.

We work to advance the academic and public service missions of UC San Diego by ensuring equitable access to education and empowering students throughout their educational journeys.

The Office of Undergraduate Admissions leads the university's efforts to identify, recruit, admit and enroll the next generation of UC San Diego Tritons with particular focus on talented, academically capable, California students, representative of the diversity of the people of California.

The mission of the office includes increasing the visibility of UC San Diego in California, the nation and world, through marketing and on- and off- campus recruitment activities to prospective first-year and transfer students and their families;

school counselors; community college leaders and advisors; community based organizations; and educational organizations serving groups historically underrepresented on our campus.

The Office of Undergraduate Admissions hosts more than 80,000 visitors and receives, processes, and reviews over 150,000 applications for admission annually.

The office works collaboratively with on-and off- campus partners to achieve university enrollment goals.

POSITION OVERVIEW

The Admissions Officer (AO), under the supervision of the Assistant Director of Undergraduate Admissions, plays a pivotal role in the admissions process for domestic and international applicants.

Responsibilities include independently reviewing applications, evaluating academic records, and determining admissions eligibility based on established guidelines.

The AO engages in extensive travel for recruitment activities, develops recruitment plans, and utilizes a CRM system to connect with and track engagements with prospective students.

They provide detailed information about UC San Diego's educational offerings and admission requirements through various platforms, including school visits, workshops, and college fairs.

Additionally, the AO maintains relationships with counselors and community organizations to enhance enrollment efforts and conducts training sessions on admissions policies.

An AO's evaluation duties involve assessing academic transcripts from domestic and foreign institutions, conducting course-by-course evaluations, and validating student records for admission purposes.

The AO also participates in admissions committees, special projects, and training initiatives, contributing to the overall admissions operations and student recruitment goals at UC San Diego.

QUALIFICATIONS

Thorough knowledge and experience working with a diverse student population. Ability to interact effectively with a diverse group of prospective students and families, counselors, administrators, the general public and campus community including multicultural and non-traditional populations.

Ability to interpret and communicate University policies and procedures to prospective students and the public.. Ability to interpret broadly written faculty guidelines and use independent judgment in making admission decisions.

Aptitude to remain abreast of changes to policy, procedures and adjust to changes as required.

Ability to conduct professional presentations before large and small groups, representing the University and the Office of Admissions.

Advanced verbal and written communication skills. Ability to be an active listener and provide excellent constituent / customer service in all interactions - in person, on the phone and electronically, demonstrating professionalism at all times.

Ability to develop recruitment programs, and design effective materials. Ability to independently organize and implement informational programs for students and parents, counselors, community-based organizations, and the general public.

Ability to establish and maintain cooperative relationships with schools, universities, community organizations, and other institutions.

Ability to assess workload, organize and prioritize work to meet multiple deadlines with efficiency and accuracy in a fast paced environment with changing demands and minimal supervision.

Demonstrated analytical, critical thinking and problem solving skills. Accurate computational skills and ability to interpret and implement policies and procedures when resolving issues.

Capacity to be precise and pay close attention to detail including the ability to independently review records and develop itineraries, schedules and plan recruitment activities and programs.

Ability to conduct independent and unsupervised individual evaluations and assessments (domestic and international), and provide admissions counseling for prospective students, admitted and denied applicants, current UC San Diego undergraduates, high school and community college counselors, college advisors and directors of advising, military recruiters and others.

Thorough and comprehensive knowledge of academic programs, including curricula, admissions requirements, and financial aid programs, at colleges / universities and specifically at UC, and / or specific colleges and schools.

Familiarity with educational trends, common and best practices at post secondary higher education institutions across the nation.

Ability to maintain confidentiality, discretion and exercise good judgment in handling sensitive and confidential matters.

Detailed knowledge of complex and broadly written guidelines governing evaluation, admission and deferral of freshman and transfer applicants, both domestic and international.

Ability to interpret broadly written guidelines and use independent judgment in making admission decisions.

Knowledge of admission-related technology including CRM (Customer Relationship Management) systems. Efficiency in utilizing technology and data to effectively execute the responsibilities of an Admissions Officer, from outreach and recruitment to application review, evaluation and yield.

Experience in implementing programs and workshops with high schools and community colleges for recruitment and yield purposes.

Familiarity in the use of a personal computer including the use of the Microsoft Office Suite (Work, Excel, PowerPoint). Knowledge of email systems as a primary form of communication;

accomplished skill at navigating the internet for information retrieval.

Ability to travel to various sites for student outreach purposes.

SPECIAL CONDITIONS

Duties may require direct contact with children (defined as individuals under the age of 18). Completion of the Child Abuse and Neglect Reporting Act (CANRA) form is required.

Job offer is contingent upon a satisfactory clearance based on background check results.

Available to work evenings / weekends during peak periods.

Position includes substantial domestic and international travel. Must have access to reliable transportation for domestic travel as needed.

Must be able to obtain and maintain a valid passport and / or REAL ID for international travel as needed.

Must be able to withstand the demands of heavy public contact.

Pay Transparency Act

Annual Full Pay Range : $63,800 - $111,600 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent : $30.56 - $53.45

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs.

The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position.

The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
