Office Assistant Downtown El Paso TX

The ideal candidate will play a crucial role infacilitating office operations and enhancing team efficiency byoverseeing administrative tasks and coordinating activities.

Key Qualifications :

  • Associate’s Degree or similarcertification.
  • Proven experience as an officeassistant or in a similar role of at least 1 year.
  • Bilingual : Fluent in both Spanish &English.
  • Strong organizational and planningskills.
  • Excellent communication andinterpersonal abilities.
  • Experience with filemanagement both physical and electronic.
  • Ability to handle confidential information withdiscretion.
  • Tech Savvy. Proficient in MSProducts and Microsoft Teams.
  • Must be able topass a drug test and background checks.

Key Responsibilities :

  • Client Onboarding : Assist in the onboardingprocess for new clients to ensure a seamless integration into ourbusiness operations.
  • Administrative Order andFile Management : Maintain orderliness in file management; ensureall physical and digital files are organized and easilyaccessible.
  • Standard Operating Procedures(SOPs) and Presentations : Create and update SOPs; preparepresentations as required to support team objectives.
  • Invoice Oversight : Manage and oversee the invoice processensuring accuracy and timely handling of all accounts payable andreceivable.

QBO experience preferred.

  • LegalDocument Filing : Place orders for necessary services and overseethe filing of legal documents in compliance with regulatoryrequirements.
  • Microsoft Teams Coordination : Utilize Microsoft Teams to facilitate communication and documentorder within the team.
  • Public Relations andEvent Management : Oversee the PR calendar coordinate publicrelations activities and assist in the planning and execution ofevents.
  • Travel Coordination : Arrange allaspects of team travel including accommodations transportation anditinerary planning.
  • Office Standard : Maintainthe office space standard.
