  • Job Summary

    South Mountain Community College is seeking a highly organized and detail-oriented Program Coordinator to support the Behavioral Sciences Department. This key coordinator position is integral to the smooth operation and success of the department and will provide direct support to department leadership, including the Program Coordinator, Occupational Program Director (OPD), and Division Chair.

    The Program Coordinator supports the Behavioral Sciences Department at a community college by providing essential administrative, research, and program coordination functions. Responsibilities include conducting basic research and analysis, assisting with program planning and implementation, supporting faculty and students, and ensuring day-to-day operational efficiency. The role may involve supervising or providing lead direction to staff, maintaining accurate program records, preparing reports and materials, and ensuring compliance with institutional policies and procedures. The position operates under general supervision and requires strong organizational, communication, and analytical skills.

    Essential Functions

    Program Coordination & Operations - 25%

    Plan, organize, and execute program activities to ensure smooth daily operations of the Behavioral Sciences Department.

    Coordinate faculty schedules, meetings, events, student activities, and departmental logistics.

    Serve as liaison between internal and external stakeholders, including advisory boards, vendors, and community partners.

    Administrative & Transactional Support - 20%

    Manage daily operations, forms, contracts, schedules, and records in both digital and physical formats.

    Provide direct support to department leadership by preparing reports, correspondence, and program materials.

    Ensure compliance with institutional policies, procedures, and accreditation standards.

    Data Management, Research & Reporting - 15%

    Collect, maintain, and analyze data on program outcomes, student success, course offerings, and enrollment trends.

    Compile data for program evaluation, accreditation, and institutional reporting.

    Conduct basic research to support program planning and decision-making.

    Faculty & Student Support - 15%

    Act as primary point of contact for faculty, staff, and students regarding program-related needs.

    Assist with faculty hiring, onboarding, evaluation documentation, and student-related communications.

    Resolve routine issues and ensure program information is accessible.

    Budget & Procurement - 10%

    Monitor departmental budgets, track expenditures, and process purchasing and procurement requests.

    Assist with financial recordkeeping and compliance with fiscal policies.

    Supervision & Training - 5%

    Provide lead direction to support staff or student workers, including assigning tasks, reviewing work, and offering feedback.

    Assist with hiring, onboarding, and training of new employees and student workers.

    Event Coordination & Outreach - 5%

    Support the planning and execution of department events, orientations, workshops, and workforce training programs.

    Assist in developing promotional materials and communication strategies for outreach initiatives.

    Other Duties as Assigned - 5%

    Perform additional responsibilities in support of the department's goals and operational needs.

    Minimum Qualifications

    Bachelor's Degree from a regionally accredited institution in education, business or public administration, or a directly related field and one (1) year of experience in researching information, gathering data, performing preliminary analysis and preparing reports.

    OR

    Associate's Degree from a regionally accredited institution in education, business or public administration, or a directly related field and three (3) years of experience in researching information, gathering data, performing preliminary analysis and preparing reports.

    OR

    High School Diploma / GED from a regionally accredited institution in education, business or public administration, or a directly related field and five (5) years of experience in researching information, gathering data, performing preliminary analysis and preparing reports.

    Desired Qualifications

    A. Three or more years of experience in program coordination, student services, academic support, or administrative functions.

    B. Demonstrated experience conducting basic research, data gathering, and preliminary analysis to support program development and reporting.

    C. Experience using student information systems (e.g., Banner, PeopleSoft) and proficiency with Microsoft Office Suite, Google Workspace, or similar tools.

    D. Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.

    E. Excellent written and verbal communication skills , including experience preparing reports, presentations, and outreach materials.

    F. Experience providing customer service or front-line support to students, faculty, or the public.

    Special Working Conditions

    Work Environment :

    Primarily performs duties in an indoor office setting within an academic environment. May occasionally attend department events or meetings across campus.

    Physical Requirements :

    Sedentary work : Involves prolonged periods of sitting.

    May require occasional lifting of materials weighing up to 10 pounds.

    Frequent use of a computer, keyboard, and telephone; repetitive hand / wrist motions.

    Work Schedule :

    Standard business hours with occasional need for flexible scheduling to support program activities, student events, or deadlines.

    Communication Demands :

    Regularly required to talk, hear, and see in order to perform essential functions and communicate with faculty, students, staff, and external stakeholders.

    Technology Use :

    Must be comfortable using office software, communication platforms, and college systems to manage documents, data, and program communications.
