About the Position

We are seeking an experienced and successful Document Control Specialist / Document Controller who will administer the document lifecycle for engineering and construction documents, help define standards and workflows for document management, help lead the collection, authoring, publication, storage and retrieval of documents, and coordinate the submission of documents to the PM team while tracking and resolving outstanding submittals / items, pending review comments, etc.

This is a long term (2+ years), full-time, on-site position located in Newark, NJ.

Responsibilities

  • Facilitate tracking and distribute various submittals and comments forms between the Project Managers
  • Daily reporting on outstanding submittals, pending review comments and other outstanding submissions from the Design-Build Contractor to the PM team.
  • Support the Project Managers to help facilitate review comment consolidation and distribution of review comments.
  • Administer the collection, publication, storage and retrieval of documents.
  • Help establish and manage document processes via SharePoint and E-builder to ensure control and availability.
  • Quality control of deliverables and review comments prepared by PM staff.

Minimum Qualifications

  • Bachelor's degree or equivalent combination of education / experience.
  • 5+ years of experience in document control or submittal coordination.
  • Experience with E-Builder and SharePoint platforms.
  • Experience with E-Builder and SharePoint workflow development and implementation.
  • Proficiency with Microsoft Office Suite Word, Excel, PowerPoint, Outlook and Teams.

Preferred Qualifications

  • 10+ years of experience in document control or submittal coordination.
  • Experience in two or more phases of project lifecycle (e.g., predesign, design, procurement, construction, and post-construction phases).
  • Experience working as client's PM / CM agent (e.g., providing program management / construction management services), or as part of design-build contractor (or equivalent design and construction experience).

Compensation Details

The salary range listed for this role is $83k-$145k annually ($40-70 / hr.) The final salary offered is based on multiple factors and is thoughtfully aligned with each candidate's level of experience, breadth of skills, total education achieved, certifications / licenses that have been obtained, etc.
