JOB DESCRIPTION

PURCHASING CLERK Full-Time

The Purchasing Clerk is responsible for clerical and data entry duties in the procurement of allied (non-Hallmark) product.

The Purchasing Clerk may be tasked with the completion of running various reports, entering data on buysheets, assists with vendor communication, process reorders, creation of assortment scheduling, and completion of Purchase Order (PO) entry / amendment.

The Purchasing Clerk may also assist with creation of product knowledge, and works on special projects as assigned.

ESSENTIAL JOB FUNCTIONS include, but are not limited to :

  • Runs various reports and may conduct specified market / product research, as directed.
  • Schedules vendor meetings, tracks orders, and updates order records.
  • Maintains accurate records of terms and conditions.
  • Fills out buysheets for product as directed.
  • Assists with rollout of Routing Guide, Certificate of Insurance requests for vendors, and maintains purchasing documents and spreadsheets.
  • Processes reorders and runs any pertinent reporting for reordering.
  • Enters, amends, and updates POs as requested.
  • Is a highly motivated individual who thrives in an ambiguous and ever-changing environment someone always up for a challenge and inspiring others to learn and think differently.
  • May be required to attend various buy-related meetings.
  • Upholds all company policies and practices.
  • Performs / completes other duties or special projects as assigned.

Requirements :

REQUIRED QUALIFICATIONS (required for candidates to be considered)

Must be 18 years of age or older.

PREFERRED QUALIFICATIONS

Previous purchasing clerical experience

  • Must be able to remain organized and have attention to detail.
  • Excellent communication skills; communicates effectively with vendors and coworkers.
  • Strong sense of urgency, flexibility and willingness to adapt to change.
  • Proficiency and comfort using a computer and other technology.
  • Desire and ability to learn the business.

WORKING CONDITIONS & PHYSICAL DEMANDS

Must be able to continuously sit / remain in a seated position at a computer, communicate with customers, co-workers, vendors, either in-person or over the phone, including speaking, hearing, and sight in order to assist vendors and coworkers;

utilize fine finger movement (i.e. keyboard operating, writing, etc.) and tactile / touch to assist with products, equipment, etc.

  • Must be able to frequently drive and / or travel during job performance, stand / walk, push / pull, lift / carry up to 10 pounds, balance on uneven surfaces / ground and bend at the waist.
  • Must be able to rarely kneel and squat, lift and / or carry up to 30 pounds, and reach overhead with arms raised above shoulder height / forward reaching.
  • While working, this position may be exposed to tolerance of noise from products and environments, tolerance of smells / scents of products (i.

e. candles, potpourri, lotions, etc.).

EMPLOYMENT STATUS

This is a regular, full-time, hourly position that is deemed non-exempt by the Fair Labor Standards Act (FLSA) and will be required to work a minimum of 40 hours per week.

Pursuant to the FLSA, any hours worked over 40 will be paid at time-and-one-half as overtime.
