We are seeking a Marketing Administrative Assistant ASAP. Our client is a small and growing marketing firm that services commercial real estate clients.

As the Marketing Administrative Assistant, you will be responsible for managing all administrative tasks to support marketing campaigns and maintaining effective client relationships.

In addition to creative administrative work, we are looking for someone who is also extremely organized and is good with support level work and someone who has an entrepreneurial spirit.

This role is primarily remote and is a newly creative role due to growth.

Responsibilities :

  • Manage calendar and tasks via Asana
  • Oversee the execution of marketing campaigns within budget and time constraints
  • Respond promptly to urgent needs across different projects and clients, including phone calls or emails
  • Delegate and oversee tasks for both internal and external teams
  • Develop progress reports for clients
  • Act as the primary point of contact for all retailer partners
  • Coordinate with city officials, property owners, and other stakeholders
  • Ensure clear and effective client communication, exceeding client expectations
  • Process customer credit applications accurately and efficiently
  • Maintain accurate customer credit records
  • Proficiency in Microsoft Office Suite including Microsoft Word, Excel, Outlook, and PowerPoint
  • Experience with Asana or similar project management software
  • Ability to handle and prioritize multiple tasks while maintaining attention to detail
  • Excellent customer service skills with a customer-centric approach
  • Experience in data entry with a high level of accuracy
  • Exceptional verbal and written communication skills
  • Experience in managing both inbound and outbound calls
  • Ability to schedule appointments and manage calendars efficiently
  • Experience in email correspondence and ability to respond professionally and promptly
  • Must possess strong organizational and time management skills
  • Ability to work independently as well as part of a team
  • High school diploma or equivalent educational level
  • Previous experience in an Administrative Assistant role or similar is preferred
  • Familiarity with standard office equipment such as printers, photocopiers, etc.
