Job Description

Basic Purpose

Positions in this job family are assigned duties and responsibilities involving document production and management through a variety of manual or technological processes.

This may include preparing correspondence, reports or other documents, maintaining various filing systems, including computer records of various activities, reviewing and processing applications for permits or licenses, assisting agency customers with inquiries or problems concerning an assigned program area, processing various types of claims, requisitions, purchase orders and invoices for payment, and similar duties.

Typical Functions

Perform initial review and analysis of applications for 13 allied health professions and 3 medical boards, determine acceptability and completeness.

Match and / or update supporting documentation promptly. Determines appropriateness and acceptance of submitted materials / documents.

o American Board of Cardiovascular Perfusion (ABCP)

o Commission on Dietetic Registration (CDR)

o Certification Board for Music Therapist (CBMT)

o National Commission on Certification of Physician Assistants (NCCPA)

o Federation of Podiatric Medical Board (FPMB)

o American Board of Certification in Orthotics, Prosthetics, and Pedorthics (ABC)

o Board of Certification for Athletic Trainer (BOCATC)

o Other State Boards / Licensing Divisions

  • Communicate with callers including applicants, credentialing staff, training institutions, Board members and Committee members.
  • Update supervision changes of allied professionals ensuring compliance with limits as required by statute.
  • Perform tasks relating to continuing education including courses submitted for approval, licensee audits, maintaining / updating approved courses for all professions licensed by the Board.
  • Assist in processing applications that will be presented to the committees and Board. Post Board / Committee actions related to new applications, continuing education, and supervision changes.
  • Assist customers, who could include students and external callers, regarding specific questions on licensure applications, laws, rules, and regulations.
  • Answer incoming telephone calls for the Board via the que or the switchboard at the front desk. Be prepared to assist callers with website related questions or licensees / applicants with login credentials to renew or apply for licensure.
  • Greet and assist visitors including licensees and applicants.
  • Perform various sorting, scanning, filing, and mailing.
  • Open, sort, distribute, collects and delivers mail for the agency. Restrictively endorses all checks and issues receipts for payment.
  • Produces and delivers by mail or email any public file requests.

Level Descriptor

This is the specialist level where employees will independently perform most complex and technical duties, such as preparing presentations through manipulation of data, or preparing documents for audits or special reports.

Some responsibility may be assigned for the functional supervision of other employees on a limited basis.

Education and Experience

Education and Experience requirements at this level consist of three (3) years of clerical office experience; or an equivalent combination of education and experience.

Knowledge, Skills, Abilities and Competencies

  • Knowledge, Skills and Abilities required at this level include knowledge of office methods and procedures; of grammar, punctuation and spelling;
  • of mathematics; of preparing and interpreting charts and graphs; of basic bookkeeping procedures; of inventory techniques;

of telephone procedures; of standard business communications; and of current office technologies. Skill is required to operate office machines including computers.

Ability is required to follow oral and written instructions; to establish and maintain effective working relationships with others;

to establish and maintain filing systems; and to prepare documents, reports, and files for dissemination to external sources.
