As a Senior Executive Administrative Partner at Telesign, your role is to partner and support the CEO in day-to-day administration and operations.

You’ll work hand in hand to ensure that the administration & strategic needs of the CEO are prioritized and supported. The ideal candidate has superior attention to detail, great organizational skills, and the ability to juggle multiple high-priority requests.

It also requires the ability to work with team members at all levels, sometimes under pressure. A high level of integrity and discretion in handling confidential information is important, as is a positive attitude.

The ideal candidate is a seasoned EA who loves working in a growing company, understands the value of cultivating relationships and prides themselves on being a career EA.

Please note : This person will need to be based in Los Angeles, California and is required to be in the office 5 days / week.

Key Responsibilities :

  • Manage the schedule / communications including heavy calendar management, inbox prioritization, and email drafting for the CEO.
  • Proactively own and flawlessly execute calendars, prioritizing with purpose, deflecting with tact, understanding both the short / long-term impacts of each confirmed, declined, and rescheduled meeting.

Ensure leaders are equipped with all the necessary meeting information and manage inbound and outbound requests. Bonus if you enjoy playing Tetris with different Time Zones and schedules to help people get together.

Coordinate in-person meetings and conferences including greeting guests, setting up board rooms, AV, organizing catering, attendance tracking and materials distribution.

Provide agendas, detailed data, information, and resources in preparation for meetings.

  • Communicate with general staff on the CEO’s behalf
  • Support the CEO with external commitments on external boards, committees, and other groups.
  • Good judgment prioritizing time-sensitive matters.
  • Assists in coordinating the agenda for direct reports and team meetings. Prepares an account of the meetings and designates and follows up on assigned action items.
  • Book complex travel arrangements
  • Collaborate closely with other members of the leadership team, providing support and expertise as needed
  • Proactively support & drive the Teams OKRs
  • Be deep in detail of Weekly, Monthly & Quarterly priorities
  • Attend key meetings and track follow-ups and deliverables in partnership with the executive
  • Support Large Scale logistical projects
  • Organize and plan internal and external events : Dept. All-Hands, Team building events, Leadership off-sites, Conferences, etc.
  • Take ownership of key initiatives, helping the teams reach their highest potential.
  • Leading ADHOC projects

Essential Requirements :

  • Minimum of 8+ years' experience as an Executive Assistant supporting C-level Executives, direct CEO experience preferred
  • Excellent writing, editing, grammatical, organizational, and research skills
  • Incredibly organized and resourceful, able to juggle and multi-task with acute attention to detail and follow through
  • Solid project management skills, including ability to prioritize tasks, handle multiple projects, often under deadline, and work calmly under pressure while maintaining a high level of organization
  • Handles confidential information appropriately, understand and respect the sensitive nature of information, and manages this responsibly and with great care.
  • Resolves problems creatively and logically, including investigating issues, asking appropriate questions, and recommending alternative resolutions as appropriate.
  • Keen attention to detail without losing sight of the bigger picture. Excellent proofreading skills are essential.
  • Ability to think analytically, take initiative and see tasks through to completion with appropriate follow-up. Possess self-discipline to meet deadlines and display a strong work ethic.

Ability to anticipate needs and be proactive.

Maintains a customer service demeanor using strong interpersonal skills, including relationship management, tactful negotiation and diplomacy.

Pay decisions are also guided by our financial means as well as analyzed against what others earn internally. We strive to pay competitively and offer market differentiated benefits and perquisites in line with our compensation philosophy.

Telesign’s good faith estimate for this position is $101,700 - $198,100 + bonus + benefits. This range is a reflection of many similar like positions and your actual compensation may not be at the high or low end of the range but will be based on your unique skills and other criteria mentioned.
