Salary Range : $53,286 to $53,286 + Washington State Employee Benefits

FLSA - Full-time, Non-Exempt

The WSBA's mission is to serve the public and the members of the Bar, to ensure the integrity of the legal profession, and to champion justice.

Purpose and Position Summary :

The Outreach Coordinator is a new position to the Washington State Bar Association (WSBA). This position is primarily responsible for coordinating WSBA’s outreach efforts, assisting with WSBA committee and events projects, and providing administrative support to members of the Executive Leadership Team.

As part of the Leadership Support Team in the Office of the Executive Director, the position promotes a consistent approach to WSBA outreach support by developing and communicating standard operating procedures and best practice tools for the coordination of outreach events;

providing information to WBSA staff and volunteers; and maintaining centralized records and rosters related to outreach events.

Primary Job Duties and Responsibilities :

Outreach Support :

  • Engage with local / county / specialty bar leadership and members by sharing information and engagement opportunities with WSBA leadership and other key staff and encouraging communities to participate in WSBA activities, committees, elections, etc.
  • Maintain current rosters of local / county / specialty bar leadership.
  • Develop and maintain a system for tracking key actions, key dates, volunteer opportunities, scheduled speaking engagements of staff and BOG, etc.

through ongoing contact / interaction with staff across the organization (e.g., Professional Responsibility, Diversity, Public Service Programs, Communications and Outreach, etc.).

  • Develop and maintain an organization-wide calendar documenting all speaking engagements across the organization to help maintain message consistency, decrease / eliminate speaking overlap and leverage key outreach opportunities.
  • Respond to speaking requests from local / county bars and community organizations, identifying appropriate speakers for their needs.
  • Provide a report of speaking engagements for the Executive Director’s report to the Board of Governors (BOG).
  • Inform and provide relevant information to bar and staff leadership through two-way, ongoing communications.
  • Support Communications and Outreach Team and its initiatives regarding outreach.

Committee and Events Projects :

  • Support annual WSBA APEX Awards process. This includes :
  • Track timeline for promotion of nominations. Work with Communication and Outreach staff to ensure adequate and timely outreach for nominations.
  • Collect and collate nominations and prepare for review by WSBA Awards Committee. Schedule committee meetings. Compile winning entries and coordinate with Communication and Outreach staff to announce winners, send letters to winners, nominators and nominators of non-winners.
  • Participate on planning committee for awards event. Carry out tasks as necessary, including development of award inscriptions and other award-related details.
  • Schedule video interviews with honorees and their nominators.
  • Support planning and schedule for events including but not limited to, the annual 50-Year Member Tribute Lunch, statewide Listening Tours, and Community events.

Administration :

  • Provide administrative support to the Executive Assistant of the Executive Director, and members of the Executive Leadership Team (ELT) including :
  • Process the expense reimbursement and monthly credit card reconciliations for ELT consistent with WSBA policy and ensuring fidelity to the Board-approved budget.
  • Book travel arrangements and prepare travel itineraries for ELT.
  • Assist in scheduling and organizing meetings with internal and external stakeholders, ensuring all logistical details are managed efficiently.
  • Provide support to OED department team members as needed to execute special events, meetings, and activities.

Performs other duties as needed and assigned.

Education Required :

College degree or equivalent combination of education and experience

Education Preferred :

Bachelor’s degree in communications, English, or Pre-law

Experience Required :

Minimum of 2 years; 1) relevant work experience, and 2) experience working in a professional office setting (in-person, hybrid, or remote).

Experience Preferred :

  • The ability to track costs, make expenditure decisions, and monitor expenses within a budget.
  • Knowledge or, or experience with non-profits, government, or similar leadership, policy making body or board.
  • Knowledge of, or experience with, the legal / law community and profession / field.

  • Must be able to independently manage multiple tasks and timelines.
  • Strong written and verbal communication, and listening stills are essential.
  • Excellent organizational, analytical, and problem-solving abilities.
  • Ability to handle multiple projects in a fast-paced, deadline-driven environment.
  • Sound judgment, reasoning, and effective interpersonal skills (both oral and written) are necessary.
  • Must exhibit tact and reassurance to WSBA members and staff.
  • Ability to work effectively with volunteers.
  • Ability to foster engagement across departments within the WSBA and fully understand department’s functions and goals.
  • Ability to handle sensitive and confidential situations.
  • Demonstrated poise, tact and diplomacy, and the ability to interact with individuals at all levels of the WSBA, its boards, sections, and committees, and the membership.
  • Proficient in Microsoft 365 products and Windows environment, with strong aptitude to learn others when necessary.
  • Proven varied computer skills are required.

Working Conditions : This position, while primarily remote, must be flexible to work in office or travel within WA state as deemed necessary, or as required.

This position may also have the option to work in-office. For remote work, must have an adequate home / work environment and internet access, for performing work of a highly sensitive and confidential nature.

Employment with the Washington State Bar Association mandates that WSBA Staff must reside within the State of Washington at the time of hire, and during active employment status.

The essential functions of the job that must be performed, with or without a reasonable accommodation : This position must be able to regularly work five days per week in an office type environment (remote or in office), possess the ability to primarily sit / stand and use a computer, and occasionally lift / push / pull items weighing up to 50 pounds (file boxes, paper, and other supplies or equipment).

Must be able to operate a computer keyboard, and other standard office equipment (e.g., printer / scanner / fax / telephone).
