Client Overview :
Our client, a scientific research organization conducting clinical trials. They have multiple locations, including their operational headquarters in Boston.
They are seeking for an efficient and detail-oriented Administrative Assistant to join their team!
Salary / Hourly Rate :
$25 / hr
Position Overview :
As an Administrative Assistant, you will undertake a range of administrative functions, including office coordination, organization of team events, and managing calendars for executives.
The Administrative Assistant coordinates office activities and operations to ensure efficiency and compliance to company policies.
Responsibilities of the Administrative Assistant :
- Supervise administrative staff and divide responsibilities ensuring performance is optimal
- Manage agendas, travel arrangements, appointments etc. for upper management
- Organize team events and meetings, including arranging facilities and caterers when needed
- Create and update records and databases with personnel, financial, and other data
- Assist colleagues whenever necessary
- Answer and redirect phone calls, emails, and other correspondence
- Maintain a company calendar and schedule appointments
- Coordinate project deliverables and handle queries on general management issues
- Submit timely reports and prepare presentations / proposals as assigned
Qualifications for the Administrative Assistant :
- Proven experience as an administrative assistant or office assistant
- Strong calendar management experience
- Well-organized, with a strong ability to multitask and prioritize
- Ability to work independently and as part of a team
- Proficient with Microsoft Office Suite; familiarity with project management software is a plus
- Working knowledge of office equipment like printers and fax machines
- Strong communication and people skills
Education Requirements :
- High School diploma or GED is required
- Advanced degree is preferred but is not required
