Responsibilities

The Executive Assistant will :

  • Greet visitors and vendors; manage incoming phone calls and routes them to appropriate personnel
  • Make travel arrangements, including booking flights, cars, and hotel and restaurant reservations
  • Plan events, such as board meetings, luncheons, and employee gatherings with minimal direction
  • Maintain an electronic filing system for corporate contracts
  • Act as the point of contact between Executives and others, facilitating clear and effective communication between the CEO, Vice Presidents, and leadership team
  • Receives packages and coordinates outgoing shipments
  • Provide badge access to employees and necessary vendors
  • Prepare expense reports and credit card reconciliations
  • Monitor and replenish office supplies
  • Collaborate with the Manufacturing and Facilities team to maintain office conditions and manage service vendors
  • Perform other duties, as needed

Qualifications :

  • 3+ years of Administrative experience, including Executive Support
  • Computer savvy
  • Proficient to Advanced-level in MS Office (Outlook, Word, PowerPoint and Excel)
  • Ability to handle highly sensitive material and information with discretion and confidentiality
  • Solid problem solving and time management skills
  • Exceptional phone etiquette
  • Great interpersonal skills
  • Excellent communication skills (written and verbal)
  • Strong attention to detail
  • Highly organized

Desired Skills :

  • Associate's and / or Bachelor's Degree in Business
  • Previous experience providing direct support C-Suite staff
