IT Operations Manager

We are looking for an IT Operations Manager for a full-time permanent placement role onsite in Eugene, OR.

OVERVIEW :

IT Operations Manager who will take ownership of critical IT operations, working onsite at the Eugene, Oregon office. This role requires flexibility, as you will be responsible for daily work and on-call time during crucial operations such as month-end and year-end closings.

The role involves troubleshooting complex processes, managing key operational tasks, ad hoc queries and working closely with other departments such as Payroll and Accounting to ensure smooth execution of operations.

RESPONSIBILITIES : Daily Tasks :

Daily Tasks :

• Monitor Scheduled Tasks : Oversee all scheduled tasks, identify issues, and troubleshoot errors in a timely manner.
• CData Processing Monitoring : Ensure the proper functioning of CData processes, troubleshoot errors, and resolve issues.
• Operations Tickets : Monitor and address operational support tickets, ensuring quick resolutions.
• Document Management Software : Oversee and manage the operation, maintenance, and troubleshooting of document management software to ensure seamless workflow processes.
• Supervises Night Operations role : Supervises the Night Operations role and its responsibilities. Maintains clear, updated documentation and checklists for night operations processes.
• Commission Processing : Coordinate the monthly commission schedule with Payroll and update the NightOps database accordingly.

Monthly Tasks :

• Month-End Processes : Oversee Physical Month-End / Parts End of Month activities and A / R Month-End processes.
• Commission Runs : Manage Sales, Rental, and CSA Commissions processing both mid-month and at the end of the month.
• Verify commission data is accurate and ensure it is delivered on time.
• Suggested Orders : Send monthly suggested orders to vendors.
• Leasing Depreciation : Prepare and backup depreciation files.
• Payroll Updates : Upload Payroll Hours and run end of month labor updates.
• Key Update Processes : Various updates and the associated reports.

Special Tasks :

• Year-End and Mid-Year : Lead efforts during physical year-end closing, prepare backups, and assist with mid-year / year-end meetings, including compilation of information packets for management team and auditors.
• Data Manipulation : Assist with data manipulation and conversions to ensure integration with current systems.
• Quarterly Auditor Requests : Prepare and export requested data quarterly as requested.
• Ongoing Process Improvements and Automation : Continuous improvement of existing processes. Automate what can be automated.

Streamline processes for simplicity and reduction of errors.

REQUIREMENTS :

• Advanced Troubleshooting and Reverse Engineering : Ability to troubleshoot complex issues, reverse engineering processes, and manage batch / script files.
• Proficiency in Excel / MS Query / Access : Advanced skills in these tools are critical for data manipulation and reporting.
• SQL Query Knowledge : Strong experience with SQL queries for data analysis and troubleshooting.
• Document Management : Familiarity with creating and editing documents in Acrobat and Word.
• Document Management Software Expertise : Experience with managing, troubleshooting, and optimizing document management software and workflow processes.
• Delphi / Pascal Programming : Experience in Delphi / Pascal is a plus but not mandatory.
• Experience with Cypress, CData Arc, and Attunity : These tools are used in daily operations, and experience in any or all of them is highly valued.
• HP Non-Stop Tools : Proficiency in HP Non-Stop TACL, PERUSE, SPOOLCOM, ENFORM, SCF is helpful.
• Data Manipulation & Conversion : Experience in handling large datasets, converting data formats, and preparing data for use by developers.
• Good Communication Skills : The ability to communicate clearly with other teams, document processes, follow up / follow through and report issues effectively is essential.
• Teams / ADO Expertise : Strong understanding of Microsoft Teams and ADO (ActiveX Data Objects) is crucial for collaboration and operations management.

Work Environment and Schedule :

• On-Call Requirement : This position requires on-call availability until midnight.
• Periodic Extended Hours : Willingness to work late hours during month-end, year-end, and closing periods.
• Flexibility : Ability to work extended hours during peak operational times and special projects.

Desirable Skills :

• Programming Knowledge : Familiarity with Delphi or Pascal is helpful.
• Experience with HP NonStop : Knowledge of HP Non-Stop and related tools will be an asset in troubleshooting and maintaining these systems.
• Ability to Collaborate : This role requires strong people skills to work with various departments such as Payroll, Accounting, and Sales to ensure smooth operations.
• Diligence and high accuracy are essential for this role.
