PROGRAM COORDINATOR, PATIENT SCHEDULER; FULL-TIME DAYS

The UW Medicine Eye Institute at Harborview has an outstanding opportunity for a highly motivated PROGRAM COORDINATOR (Full-Time, Day Shifts) to help facilitate various treatments and surgeries for our patients.

This position will work with the current Patient Care Coordinator team.

The Program Coordinator is responsible for coordinating the care and disposition of patients who require urgent pre-operative, diagnostic, and routine care.

Broadly, this includes interfacing with insurance companies to determine coverage, scheduling clinic appointments, obtaining medical records prior to clinic appointments, and scheduling follow-up clinic visits.

Additionally, the Program Coordinator will print reports and care plans and facilitate correspondence between Harborview and the referral community, as well as provide support for the providers in clinic.

These patients may be referred from various UW Medical Center services or outside facilities for various ophthalmic care to include elective services.

Program Coordinator responsibilities include :

  • Manage referrals from various departments / divisions and schedule appointments in a complete and timely manner. Special attention is required for urgent patients.
  • Coordinate with various departments to schedule high-risk patients who require specialized studies.
  • Pre-authorization and contacting insurance carriers as required. Provide patients with explanation of coverage and co-payments.
  • Obtain outside medical records.
  • Contact / interface with various transportation companies to facilitate arrangements.
  • Manage provider templates and schedules via EPIC application.
  • Communicate with interdisciplinary clinical staff from Harborview and outside facilities, patients, and caregivers.
  • Communicate with physicians regarding patient flow.
  • Coordinate follow-up appointments.
  • Data collection; compile and maintain various databases.
  • Prioritize multiple competing projects to meet deadlines.
  • Provide high-level word processing using Microsoft Office products.
  • Assist with proactively managing vacancies in provider schedules.
  • Interface with UWP clinics and providers to schedule appointments and follow-up.
  • Schedule clinical appointments and diagnostic tests, especially scheduling liver biopsies, ultrasounds, CT Scans, and MRIs.
  • Provide feedback and communicate with clinic staff to obtain incomplete or missing information needed to process referrals and / or schedule studies.
  • Manage clinic in-basket messages in EPIC.
  • Perform related duties as required.

  • Direct calls / messages to appropriate staff in a timely manner.
  • Demonstrated knowledge of medical terminology.
  • Objectively assist in developing systems that improve responsiveness of services.
  • Courteous and professional communication skills with patients and co-workers.
  • High degree of organizational skills to accurately schedule patients of varying acuity into clinic.

REQUIREMENTS : High school graduation or equivalent AND two years of experience in the program specialty OR equivalent education / experience
