Job Summary

Under the general direction of the Banking Card and Expense Management Supervisor, provide independent leadership, analysis, and strategic planning for the Banking Card Services and Expense Management teams.

Banking Card Services is responsible for all aspects of managing, promoting, and controlling our virtual card (PaymentPlus), the procurement card (P-Card), the e-procurement ghost card, the travel T&E and CTS / PBP cards, and the campus gift card solutions.

The AggieTravel team is responsible for quality assurance approvals, end user training, and campus adoption of the Concur SAP application, which is used by all employees and guests to request and reconcile travel, entertainment, relocation, and professional expenses.

This role is responsible for coordinating with suppliers and payees to encourage adoption and proper usage of card programs.

Delivering training programs supporting the programs' tools and processes. Providing leadership to, and coordinating the activities of the Quality Assurance team, ensuring proper procedures for quality assurance, utilization of AggieExpense for out of pocket and card program reconciliation.

The position contributes to the continuing efforts to improve business processes in all areas of Card Programs and Expense Management.

Collaborate with campus departments, suppliers, senior management, faculty, and medical center staff.

Qualifications

Minimum Qualifications

Demonstrated experience and working knowledge of general accounting principles as they relate to disbursement responsibilities (e.

g., appropriate fund uses, appropriate financial entries).

  • 2+ years of Accounts Payable experience.
  • Demonstrated skills to audit and approve disbursement financial transactions, expenditures, and receipts.
  • Demonstrated ability to analyze and comprehend the functioning of a modern enterprise financial system, such as Kuali or Oracle.
  • Demonstrated ability to establish and maintain effective, professional, cooperative working relationships.
  • Interpersonal, customer service, and communication skills to interact and communicate to a wide range of audiences clearly, tactfully, and effectively in person, by telephone, and in writing.

Preferred Qualifications

  • 5+ years of experience directly with Accounts Payable or Travel-related document processing.
  • Experience with UC financial systems, such as Kuali, Concur, or Oracle.
  • Experience developing and / or delivering classroom-based training.
  • Knowledge of college and university accounting, fund accounting principles, audit techniques, internal control standards.
  • Decision making skills to review financial information, define issues and develop strategies to resolve issues.
  • Knowledge of UC policies and procedures, accounting manuals, Office of the President operating memos and guidance memos.

Department Overview

Supply Chain Management is responsible for delivering value to the university through internal services and external supplier partnerships, ecommerce and payable solutions, and expertise in procurement, sourcing, distribution, and financial transactions.

Services lines include Strategic Sourcing, Procurement and Contracting Services, Distribution Services, Repro Graphics, and Business and Financial Services.

The department encompasses approximately 130 career staff with an annual operating budget of $23M.Business and Financial Services includes the Accounts Payable, Disbursement and Supplier Services, and Solutions and Financial Analysis.

These units are responsible for managing campus invoicing, disbursements, expense reporting, supplier onboarding, and the University's procurement, travel, and virtual credit card programs.

The teams are responsible for ensuring that payables, travel and entertainment expenses, and credit card transactions are accurate, complete, and in compliance with relevant local and system-wide policies and generally accepted accounting standards.

The unit also includes Solutions and Financial Analysis, responsible for internal financial reporting, account reconciliation, and implementation, support, and promotion of technology solutions core to the delivery of Supply Chain services on campus.

Solutions include the Oracle Purchasing and AP work streams, Concur expense reporting, Precision shipping, and multiple smaller applications and utilities.
