Admissions Director
Summary :
Manage the facility’s admissions process and provide customers with facility-related information via facility tours, personal visits, assessments, follow-up, etc.
Assist Marketing Director in achieving facility’s census and quality mix goals.
Environment :
Work will be performed primarily indoors at one of our long-term healthcare facilities, throughout all areas, including in resident rooms, and on carpeted and / or tiled floors.
Work will be performed there routinely around other co-workers, healthcare staff, residents, and guests. Due to the nature of facility’s business, worker may be exposed to occasional slippery floors, object on floors, chemicals, sharp objects, hazardous materials and waste (including human), blood borne pathogens, and communicable diseases, as well as high-stress medical and / or life threatening situations.
Essential Duties & Responsibilities :
- Meet physical and sensory requirements stated below, and be able to work in the described environment.
- Identify and participate in process improvement initiatives that improve the customer experience, enhance work flow, and / or improve the work environment.
- Respond to inquiry calls from hospital discharge planners, families, and other referral sources.
- Conduct facility tours.
- Manage the admission process by maintaining updated bed availability and facility services information at all times.
- Manage the inquiry process professionally, timely and with appropriate follow-up.
- Effectively manage occupancy levels and census / premium mix enhancement.
- Understand census, quality mix and bed management needs of the facility.
- Process admissions paperwork, ensure appropriate payor source, etc. and obtain signatures from residents or responsible parties prior to each admission.
- Communicate special needs of new admits to staff to facilitate a smooth transition.
- Alert appropriate department supervisors and building staff of projected changes, i.e. admissions, bed changes, and discharges, by chairing daily admission meeting to discuss forthcoming changes.
Utilize bed management principles.
- Maintain a close working relationship with the Marketing Director, Director of Nursing and the Business Office Manager to ensure appropriate and efficient decisions about prospective admissions.
- Communicate with nursing and housekeeping about appropriate room and bed selection once admissions determinations are made,
- Assist Marketing Director with maintaining the Referral Management System database as a sales management tool.
- Maintain a waiting list in compliance with state and federal guidelines.
- Maintain a working knowledge of Federal and State regulations and reimbursement (Managed Care, Medicare, and Medicaid).
- Provide assistance with new Employee orientation regarding the marketing and admissions process.
- Maintain a strong working knowledge of managed care referral processes.
Other special projects and duties, as assigned.
Job Requirements :
- Bachelor’s degree in Business, Communications, or related field preferred; equivalent related work experience may be acceptable.
- Minimum of two (2) years of experience in a health care setting; long-term care setting preferred.
- Equivalent experience in a Director of Admissions position may be acceptable.
- Effective verbal and written English communication skills.
- Demonstrated basic to intermediate skills in Microsoft Word, Excel, Power Point and Outlook, Internet and Intranet navigation.
- Highest level of professionalism with the ability to maintain confidentiality.
- Ability to communicate at all levels of organization and work well within a team environment in support of company objectives.
- Customer service oriented with the ability to work well under pressure.
- Strong attention to detail and accuracy, excellent organizational skills with ability to prioritize, coordinate and simultaneously maintain multiple projects with high level of quality and productivity.

- Moderate physical activity :
- Requires handling of average-weight objects up to twenty five (25) pounds.
- Standing and / or walking for more than four (4) hours per day.
- Sitting for more than two (2) hours at a time.
Requires consistent computer work with repetitive typing and concentrating on computer screen.
