Job Summary

This position will play a vital role in assisting various areas within Orion180. Ensuring a smooth flow of communication within and between departments, this role involves handling many varying tasks to support the organization's operations.

Role and Responsibilities

To perform the job successfully, an individual must be able to perform each essential duty satisfactorily and should demonstrate the following competencies to consistently perform the essential functions of this position.

All employees are expected to adhere to and be knowledgeable of Orion180 operations standards, established security / safety rules and requirements for attendance.

The requirements listed below are representative of the fundamental knowledge, skills, and duties required of this position.

  • Provide administrative support to ensure efficient office operations.
  • Maintain digital filing systems.
  • Answer phone calls and direct callers to appropriate personnel.
  • Schedule meetings.
  • Respond to emails and other digital queries and correspondence.
  • Manage calendars for senior staff, including making travel arrangements.
  • Draft and edit letters, reports, and other documents.
  • Input and update information in databases and spreadsheets.
  • Prepare meeting agendas and take meeting minutes.
  • Coordinate logistics for meetings, including room setup and catering.
  • Use word processing and presentation software to create and edit documents.
  • Research as requested and compile and summarize information for reports or presentations.
  • Work closely with other staff and support other colleagues and departments as needed.
  • Work with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.

Qualifications and Education Requirements

  • High school diploma or equivalent required
  • 3 years of experience working as an administrative assistant in a client / customer service-focused environment
  • Prior experience in insurance preferred
  • Punctual and reliable
  • Excellent organizational and time management skills
  • Ability to multi-task
  • Proficiency with Microsoft Office Suite
  • Positive attitude; friendly and upbeat in all interactions
  • Business casual dress attire required

Physical Demands

While performing general office duties for this position, the employee is regularly required to sit, stand and / or walk around (including the use of stairs).

Work Environment

The office environment is quiet and, in a temperature, controlled setting with random adjustments in noise or temperature due to conversations, unscheduled maintenance repairs to the building or its interior offices, or unpredictable situations due to weather or other acts beyond company control.

An employee must be willing to work their regularly assigned work schedule for their duties and / or job responsibilities and in times of need, be able to work an extended schedule depending on the company / department needs, project requirements, or customer demands.
