00 per hour*Schedule : * Monday-Friday 8 : 30am-5 : 30pm, with flexibility to work overtime, weekends or holidays, if needed.

Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.*What’s a typical day as a Purchasing & Events Coordinator : Primary Primary Research, coordinate, attend, and manage various forms of fundraising events, employee motivational events, and recognition / anniversary events.

Assist in preparing and managing RSVP list.* Enthusiastically communicate, verbally and in writing, with all personnel via face to face and via Company communication platforms* Prepares reports requested by the department manager, where information may be obtained from various sources.

Creates and maintains departmental e-filing system, including scanning, and uploading documents to SharePoint.* Type letters and memoranda with supervisor’s guidance.

Proofreads documents for grammar edits, obtains necessary signatures and routes appropriately.* Source services and products as needed for each event or assignment.

  • System enters and scans order requests, invoices and packing lists.* Answer incoming phone calls to department’s general line and organize incoming mail.
  • Secondary Assist with invoice coding and placement of POs for general purchasing.* Assist with service requests and building emergencies.
  • Serve as back up for Mailroom staff when supplies are needed by employees and with other functions when Mailroom is short staffed.
  • Serve as back up for Purchasing team.* Perform additional duties as assigned.*This job might be an outstanding fit if you : Thorough knowledge of business English, including proper spelling and punctuation.
  • Intermediate skills in programs such as MS Word, Excel, and Outlook.
  • Exceptional attention to detail and first-class organizational skills.
  • High School diploma or equivalent.* Must thrive in a challenging and fast-paced atmosphere where prioritizing and multi-tasking are the norm.
  • Ability to meet and deal effectively with vendors, customers, executives, and the general public. Well-developed interpersonal skills.
  • Skill in reviewing, composition and preparation of correspondence, reports, minutes and other written materials with accuracy and reasonable speed.
  • Ability to perform and prioritize a variety of administrative assignments with minimal supervision.* Ability to process mathematical equations when reviewing bids and processing invoices.
  • Ability to think creatively and provide innovative event ideas.* Ability to work extended hours, holidays, and / or weekends as needed to include event attendance.
  • Preferred One (1) year minimum experience working as an Administrative Assistant in a fast-paced office environment.* Bilingual (English / Spanish)* Strong negotiation skills.
