The Role :
The Vendor Management Analyst is responsible for the setup of new vendors and continual maintenance of the data to ensure that suppliers are paid promptly and that the correct information is always held.
These activities will include, but are not limited to, due diligence, on-boarding, maintenance, risk-based monitoring, issue remediation and termination of vendor relationships.
The VM Analyst will also perform quality control activities. This role will support the Procurement and Accounts Payable teams when required.
Responsibilities :
- Serve as a dedicated, centralized Vendor Management subject matter expert for key business partners and vendors
- Own and manage the vendor onboarding process (obtain and review all required documents, register new vendors, assign internal categorization data, Diverse Vendor certifications, Vendor ESG Reporting, )
- Maintain and update vendor repository as appropriate to ensure accurate and complete data (inactive vendor cleanup, removal of terminated vendors, changes in address / bank information, etc.)
- Create and / or update SOPs around the vendor onboarding processes
- Create and / or update templates, policies, etc. to be universally used throughout the organization
- Collect data for Compliance team, Internal Audit team and External Audit team including required monthly reporting such as vendor spend analyses
- Adhere to state-specific requirements related to onboarding potential new vendors (ex. submit / enter vendor applications to the NJDGE portal for licensing for all New Jersey vendors)
Qualifications :
- Bachelor's degree in Accounting or Finance or equivalent experience
- Knowledge of Vendor Management process
- Familiarity with 1099 and 1042-S requirements
- Familiarity with banking and tax requirements for various domestic and foreign countries
- Understanding of process flows and SOPs
- Demonstrated ability to interact effectively with all levels of staff and management
- Motivation to develop and maintain internal and external relationships
- Strong Microsoft Excel skills.
- Experience with ERP system, ideally SAGE MAS 500 and / or Oracle
- Excellent organizational skills, attention to detail
- Must possess the ability to work independently
- Excellent verbal and written skills
- Must demonstrate the ability to prioritize and time-manage effectively for self and others

Target Salary Range :
$65,000- $85,000 Annual Salary
