Position Description
The Proposal Coordinator is responsible to prepare proposals in response to client requests for information and / or Request for Proposals (RFP) for domestic and international projects.
Essential Functions
- Maintain, update, and report from the proposal databases (e.g. SharePoint, SalesForce)
- Log all new RFP’s and other requests into the proposal databases and distribute appropriately (e.g. Proposal Team).
- Coordinate proposal assemblage by reviewing RFP’s, and then developing the proposal matrix to determine necessary proposal content and preparation schedule that will fully respond to the RFP.
- Interface with both internal functional groups and external stakeholders to compile the required proposal information.
- Support the development of technical and commercial deliverables.
- Meet response deadlines by coordinating the completion of all proposal requirements (e.g. reproduction, special instructions, forms, shipping).
- Organize all documents into a final proposal format.
- Preserve all electronic files and ensure that the final copy of the submitted proposal is logged and subsequently filed in the proposal databases.
- Support the periodic corporate registration / certification / licensing issues that typically arise for international projects.
Qualifications
Excellent computer skills with experience and proficiencies in MS Office and other software programs including Client Relationship Management (CRM) applications, email, databases, graphics and presentation software (e.
g. SalesForce, SharePoint, Adobe).
- Excellent written and verbal communication skills
- Prior proposal / business development, contracts management, estimating, or finance and / or accounting experience for domestic and international projects.
- Strong interpersonal, organizational and leadership skills
Education
Associates degree or a commensurate combination of education and experience required. Degree preferred.

Work Environment / Physical Demands
- Working conditions are normal for an office environment.
- Frequent sitting and operating a computer.
- Must be able to use body members to work, move or carry objects or office materials.
- Must be able to exert up to 10 pounds of force occasionally.
- Physical demands requirements are at levels of those for sedentary work.
