I. JOB OVERVIEW Job Description Summary : The Columbian College of Arts and Sciences (CCAS) is the intellectual and creative backbone of the university, a place where the arts, the humanities, the social sciences, and the natural sciences come together to form a nexus of ideas and opportunity.
The CCAS Office of Graduate Studies is seeking a Senior Administrative Assistant to serve as a first point of contact for all inquiries.
The role is designated to assist prospective, admitted, current students and the GW community in person and via email and phone with navigating the administrative processes of CCAS and GW.
This position is a resource for students, faculty, and staff, and resolves inquiries as the first point of contact whenever possible and refers requests to the appropriate department or person.
The incumbent in this role will be comfortable executing extraordinary customer service through accurate communication, analytical research, and conflict resolution.
They will be cross-trained in areas of admissions, student services and recruitment to ensure a seamless service experience.
Taking initiative and possessing a positive can-do attitude will be key to success in this role. This position is 100% onsite and in-person with no hybrid option.
Reporting to the Lead Student Services Specialist, responsibilities of this role include :
- Serves as a main point of contact and manages all front desk operations to support the academic mission of the Office of Graduate Studies.
- Welcomes faculty, students, alumni, guests and prospective students to the office both in person as well as by telephone.
- Responds to student and faculty inquiries via phone, email and walk-in scheduled and unscheduled appointments.
- Effectively communicates College and University policies and procedures related to admission, registration, student records, and graduation.
- Coordinates the receipt and processing of a variety of student requests including registration forms, defense forms, advancement to candidacy requests and full-time / half-time certificate requests.
- Assists in planning and executing a variety of events targeted to current and prospective graduate students and faculty such as orientation, graduation, admitted student day, webinars, and graduate student appreciation.
- Efficiently completes a range of administrative tasks using email applications, student databases, word processing and presentation software.
- Updates student databases, including creating and running a variety of reports.
- Maintains office calendars.
- Transcribes office meeting minutes.
Performs other job-related tasks as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position. Minimum Qualifications :
Qualified candidates will hold a high school diploma / GED plus 3 years of relevant professional experience, or, a Bachelor’s degree or higher in a relevant area of study.
Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.
