We are currently looking for anAdministrative / Receptionist Assistant for a contract positionwith the Department of Justice / UnitedStates Attorney s Office (USAO) located in Kansas CityMO.
This is initially for a 1year contractwith 2 additional optional years (for a total of 3 years) with theUSAO. Candidates must be U.
S. Citizens andbe able to clear an extensive background check / clearanceinvestigation by the Department ofJustice.
The individual will support theAdministrative Division and provide the administrative and clericalduties outlinedbelow :
- Performsreceptionist functions such as receiving and screening visitors andphone calls.
- Issues visitor badgesmaintain signin logs and ensure compliance with security provisionsare followed.
- Performs routinedocument center support functions such as photocopying deliveringitems assembling notebooks packing boxes and preparing them forshipment retrieving case file materials and completing logsheets.
- Receives date stamps reviewsand routes documents via multiple fiscal electronic mailboxes (e.g.Travel request invoices transcripts).
- Assists with closedfile room responsibilities including closed file records requestsand shipments. Update closed filelogs.
- Performs data entryinto various USAO databases.
- Prepares documents forimaging and scanning.
- Maintainsinventory / control records and ordering supplies.
- Completes all aspectsof travel in accordance with Federal Travel Regulations (FTR) andDepartment of Justice (DOJ) policies including travel arrangements;
preparing cost comparisons submitting authorizations; completingvouchers; and submitting local mileage claims.
Sorts and date stampsincoming mail and prepares outgoing mail including packaging boxesfor shipments.
Requirements :
Experience : At a minimum candidates musthave a m inimum of 23 years of administrative / receptionist experience in a professional office environment(experience working in the legal industry is highlydesirable).
Experience interacting withthe public is extremelyimportant.
Education : At a minimum candidates must have a High School Diploma or equivalent(any postsecondary education is preferred).
Skills : The right candidate willhave s olid organizational skills; topnotch timemanagement skills; a streamlined and polished communication style(both oral and written);
meticulous attention to detail; and theability to remain calm and poised at all times.
Additionally : Candidates must be skilled in the Microsoft Office suitespecifically Excel spreadsheets and Word documents.
Ability tohandle confidential and sensitive matters professionally and withdiscretion. The ability to interact with the public isessential.
This is a fulltime / 40 hours per week position. Candidates will be working onsite each day (teleworkis not available for this role).
