Job Description The Assistant Registrar reports directly to the University Registrar and is primarily responsible for preparing the course schedules, classroom assignments, graduation review, degree audit updates, catalog revisions and maintaining student academic records.
Current Salary : $45,000 $50,000, commensurate with experience Duties & Responsibilities
- Coordinates the university’s course offerings in collaboration with the Deans and Program Directors.
- Assigns classrooms for courses and outside entities.
- Creates new courses and processes updates on existing courses.
- Processes non-traditional course scheduling and registrations.
- Processes student recognition for Dean’s List, Academic Standing and award preparation.
- Prepares official grade documentation for Company Deferment students.
- Creates the final exam schedule.
- Manages the Academic Calendar.
- Manages the Registrar’s web webpages.
- Manages student workers.
- Oversees the processing of transcript requests and enrollment verifications.
- Provides support for various registrar-related functions, such as registration, transcript issuance, statement of accounts, phone inquiries, grade reporting, financial aid, and academic policy review.
- Prepare reports as requested by the campus community while ensuring accurate and timely dissemination of information.
- Troubleshoot, analyze, and resolve disputes in collaboration with the campus community.
- Provide proactive solutions to improve support services and resolve issues effectively.
- Attend meetings, conferences, and workshops to stay updated on issues relevant to the Registrar’s Office and Enrollment Services.
Stay informed about university, departmental, federal, and state regulations related to enrollment and student records.
- Maintain the integrity and security of academic records, ensuring compliance with privacy regulations and safeguarding sensitive student information.
- Exercise good judgment in identifying and escalating complex issues to supervisors for further resolution.
- Demonstrate sensitivity to cultural diversity and effectively communicate and interact with individuals of all ages and identities.
- Perform other duties as assigned.
Qualification Standards
- Experience in higher education administration, preferably in Student Accounts, Financial Aid, or Registrar; familiarity with registration, FERPA, and collaboration with the administration.
- Proficiency in Microsoft Office, Google Workspace, Ellucian Colleague, Entrinsik Informer, Image Now, and EAB.
Education
- Bachelor’s degree preferred.
