Position Description

The grants administrator is responsible for directly administering and managing IIR's grants and cooperative agreements, to include pre-award and post-award administrative functions.

The primary roles and responsibilities of the grant administrator include supporting the application for, administration and monitoring of, and closeout activities required for IIR's awards.

This position works closely with program staff members and leadership and serves as direct contact with federal funders concerning grant administration issues.

Responsibilities

  • Supervises the implementation of and adherence to grant-making workflow processes and procedures
  • Provides guidance on award application requirements for the preparation and submittal of grant applications
  • Develops and reviews budgets for grant applications in multiple formats
  • Finalizes and approves award application documents for completeness and adherence to all submission requirements
  • Ensures compliance with award application submission deadlines
  • Serves as primary contact for registering and submitting timely grant proposals in accordance with federal processes, procedures, and requirements
  • Performs post-award support functions to ensure grant compliance
  • Ensures timely submittals of grant award modifications (GAMs), extensions, and closeouts, processing all required documents and communications
  • Prepares budgets for GAMs, coordinating with program staff members and federal partners
  • Provides advice and assistance to program staff members on grant / cooperative agreement administrative issues
  • Maintains required grant records, files, reports, and resource materials pertinent to grants administration activities to ensure compliance with federal regulations and according to retention policies
  • Coordinates the tracking and submittal of award progress reports
  • Assists with closeout activities for grant awards
  • Serves as a key member in the preparation of materials for programmatic desk reviews and grant monitoring
  • Works in team setting on the preparation of grant-related reports and documentation for internal use and external presentation
  • Supports the continued development and maintenance of a grants management and operations manual

Knowledge, Skills, and Abilities

  • A bachelor's degree in business, finance, or related field required; master's degree in business or finance preferred
  • Ten or more years direct experience in grants management; federal level preferred
  • Knowledge of federal grants administration policies / procedures and / or direct auditing / budgeting experience at the state / local level
  • Strong interpersonal skills and business acumen to interact with many different departments and decision-makers within and outside the organization
  • Detail-oriented with project management skills
  • Strong personal and professional values
  • Strong organizational, problem-solving, and decision-making skills
  • Ability to effectively handle and prioritize multiple assignments and tasks
  • Ability to communicate effectively and professionally, both verbally and in writing
  • Ability to work independently and in a team-oriented environment
  • Strong computer skills (i.e., Microsoft Office Suite and computer literacy)
  • Excellent writing skills
  • Exceptional time management skills

Physical Demands and Work Environment

Most work is performed in a highly productive and fast-paced virtual office environment with prolonged periods of sitting at a desk and working on a computer.

Employees must be able to maintain a quiet office space that is free of distractions. There may be occasional in-office responsibilities.
