Job Description

Under the direction of the Anatomic and Clinical Pathology (AP / CP) Residency Program Director and Associate Program Director, the Program Coordinator provides executive-level professional support for the Department's graduate medical education activities.

As a member of the Department's administrative support team, this position directly supports the Anatomic and Clinical Pathology (AP / CP) Residency Program, which is currently comprised of 20 residents (including 2 Chief Residents) and rotating residents as well as provides necessary administrative support for medical students and visiting observers.

Through a team-based approach, the Coordinator is expected to manage resident and medical student educational activities related to their various required and elective rotations in our department, as well as during rotations at the Ralph H.

Johnson VA Medical Center and other outside locations.

Job Responsibilities :

35% Oversee daily activities of the residency program including :

  • Ensure resident completion of monthly work-hour reports
  • Develop, distribute, and update the resident rotation, vacation, and leave schedules in electronic systems QQenda) according to duty hour requirements with oversight from the Program Director and / or his / her designee(s)
  • Assist in coordinating external resident rotations including completion of affiliation agreements and other necessary documents
  • Provide both administrative supervision and support to residents
  • Assist in the coordination of medical student and visiting observer rotations

20% Anatomic and Clinical Pathology Residency Program compliance :

  • Serve as the contact person for the interpretation and application of policies, procedures, and program guidelines
  • Manage, monitor, and document the residency and faculty evaluation process
  • Coordinate the completion of the Anatomic and Clinical Pathology (AP / CP) Residency Program Annual Program Evaluation for the Graduate Medical Education office
  • Generate evaluations and reports in MedHub for faculty and residents
  • Ensure that the department’s educational / training program is in compliance with ACGME guidelines. Prepare documentation and recommendations to ensure favorable judgements on audits, re-accreditation and re-certification criteria.

10% Coordinate educational activities didactic conference schedule, Grand Rounds) that support the program’s curriculum and adhere to Accreditation Council Graduate Medical Education (ACGME) requirements

Maintain and coordinate distribution sign-in sheets and maintain resident attendance records for all conferences, lecture series, and Grand Grounds

10% Manage resident recruitment process including :

Perform all residency match responsibilities and correspond with newly matched residents about requirements and process for hospital appointment(s).

Review and evaluate applications for completeness

  • Coordinate resident interviews with the Program Director and Associate Program Director, which is currently completed virtually via Zoom on 10 different dates
  • Manage all facets of the residency orientation process, working with the GME office and fellowship program coordinators.

5% Responsible for ensuring resident compliance including but not limited to :

  • Ensure completion of mandatory University trainings and other required recertifications and / or attestations including annual BLS / ACLS attestations
  • Assist residents with optional DHEC or DEA license applications
  • Ensure current SC medical licensure for all PGY 1-4 residents

5% Provide administrative support to the AP / CP Residency Program Director including scheduling of student meetings, preparation of agendas, recording and maintaining meeting minutes, and development of reports.

5% Assist with planning departmental annual events including recruitment, orientation, graduation, faculty retreats, program-related events, and various meetings including but not limited to Clinical Competency Committee, Program Evaluation Committee, and Self-Study meetings.

5% Participate in ongoing education through staff development and regular Graduate Medical Education meetings and retreats to stay abreast of current policy and procedure changes related to efficient workflow related to the residency program.

5% Provide other administrative support as requested by the AP / CP Residency Program Director.

MUSC Minimum Qualifications :

A Bachelor’s Degree and two-years relevant experience working in academic medicine or in a university setting.

Preferred Skills and Qualifications :

Ability to establish and maintain effective working relationships including working with all levels of faculty and staff.

Familiarity with ACGME accreditation requirements. Ability to effectively communicate both verbally and in writing. Demonstrated aptitude using Microsoft Suite Excel, PowerPoint, Microsoft Word) as well as other software and database systems such as QGenda, MedHub, and the AAMC Electronic Residency Application System (ERAS).

Continuous) Ability to lift and carry 15 lbs., unassisted. (Infrequent) Ability to lower objects, up to 15 lbs., from height of 36 inches to floor level, unassisted.

Infrequent) Ability to push / pull objects, up to 15 lbs., unassisted. (Infrequent) Ability to maintain 20 / 40 vision, corrected, in one eye or with both eyes.

Continuous) Ability to see and recognize objects close at hand. (Frequent) Ability to see and recognize objects at a distance.

Frequent) Ability to determine distance / relationship between objects; depth perception. (Frequent) Good peripheral vision capabilities.

Continuous) Ability to maintain hearing acuity, with correction. (Continuous) Ability to perform gross motor functions with frequent fine motor movements. (Frequent)
