Job Summary : The Executive Administrator is a high-level administrative professional who provides comprehensive support to senior executives, such as CEOs, COOs, or other C-suite leaders, within an organization.

This role is crucial in ensuring that executives can focus on strategic decision-making and leadership by handling various administrative tasks, managing projects, and facilitating communication across the organization.

Key Responsibilities :

  • Administrative Support :
  • Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.
  • Prepare and organize materials for executive meetings, including agendas, presentations, and reports.
  • Screen and prioritize incoming communications, such as emails, phone calls, and correspondence.
  • Meeting Coordination :
  • Schedule and coordinate meetings, conferences, and events, including logistics, catering, and technology setup.
  • Prepare meeting agendas, take minutes, and follow up on action items.
  • Keep meticulous notes on meetings and assignments.
  • Ensure all necessary materials and information are available for meetings.
  • Communication and Liaison :
  • Serve as a primary point of contact between the executive and internal / external stakeholders.
  • Draft, proofread, and edit documents, reports, and presentations for the executive.
  • Facilitate effective communication within the executive office and across the organization.
  • Follow up with team members on all deliverables that are expected of them by the CEO.
  • Social Media Management
  • Develop and maintain a content calendar, create engaging posts that align with the executive's or organization's goals, and ensure consistent messaging across platforms.
  • Monitor social media interactions, respond to comments and messages, and engage with followers to build and maintain a positive online presence.
  • Use analytics tools to track the performance of social media efforts, analyze data to refine strategies, and adjust content based on audience insights and engagement metrics.
  • Project Management :
  • Assist with special projects, research, and initiatives as directed by the executive.
  • Track project progress, deadlines, and deliverables, ensuring timely completion.
  • Coordinate with various departments to gather information and support project execution.
  • Office Management :
  • Maintain and organize the executive office, ensuring a professional and efficient environment.
  • Manage office supplies, equipment, and technology for the executive office.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Travel Coordination :
  • Arrange domestic and international travel, including flights, accommodations, transportation, and itineraries.
  • Prepare travel expense reports and ensure compliance with company policies.
  • Address any travel-related issues or changes promptly.
  • Event Planning :
  • Organize and coordinate company events, executive retreats, and other special functions.
  • Manage event budgets, vendors, and logistics to ensure successful execution.
  • Provide on-site support and troubleshooting during events.

Qualifications :

  • Bachelor's degree in Business Administration, Communications, or a related field preferred.
  • Minimum of 5 years of experience as an executive assistant or in a similar role.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint , Outlook) and other relevant software.
  • Excellent organizational, time management, and multitasking skills.
  • Exceptional written and verbal communication skills.
  • Ability to work independently and handle multiple priorities in a fast-paced environment.
  • High level of discretion and confidentiality.
  • Professional demeanor and strong interpersonal skills.
  • Experience with project management tools and software is a plus.

Working Conditions :

  • This position typically operates in an office environment.
  • May require occasional evening or weekend work to support executive needs.
  • Minimal travel may be required for company events or meetings.

Pay : $75,000-$100,000
