Position Title : Logistics Manager, Quilt & Kit Ministries

Department : Global Relationships and Resources

Location : Remote, with up to 30% travel.

Salary Range : $68,000 - $82,000 - $102,000

The full-time Logistics Manager will serve on Lutheran World Relief's Quilt & Kit Ministry Team. LWR receives approximately $19 million annually in gifts-in-kind from Lutheran congregations and individuals from across the United States.

Most of these items are collected by volunteers at local Ingatherings and transported to one of two contracted warehouses for processing, storage, and packing / preparation for shipment and distribution.

S / he will be responsible for managing the complex system of domestic logistics as well as warehouse relationships, relevant programmatic data reporting and analysis, and strategy development and implementation pertinent to the domestic and donor components of this piece of the program.

Critical to this role is the ability to understand the faith and driving forces of the volunteer base and to engage with this core group of LWR supporters to ensure that they have a consistently exceptional experience with the organization.

Responsibilities :

Strategy and Knowledge Development and Implementation

In coordination with the Senior Manager, develop a sustainable domestic logistics strategy for the LWR Quilt & Kit Ministry.

This role is responsible for leading implementation of the final strategy.

The team is embarking on the development of a new quilt and kit tracking system with Corus family member CGA Technologies.

This role will work closely with the Senior Manager, Quilt & Kit Ministry to implement the new system and roll the platform out to warehouses and donors.

Networking and Partnership

Serve as primary point of contact with the two contracted warehouses that service the domestic receiving, processing, and packing for the quilt and kit program.

This includes coordinating seasonal collection schedules, setting processes and timelines for warehouse reporting, and supporting warehouse staff in troubleshooting and resourcing for donor engagement and questions.

Coordinate with Key Leaders and Site Coordinators (local volunteers across the U.S.) to schedule quilt and kit collection and transportation and troubleshoot during collections as needed.

This includes being seasonally available (Fall and Spring) during non-core business hours, including evenings and weekends.

Manage vendor relationships with freight forwarders and truck drivers to ensure timely and cost-effective delivery of trucks for collections.

Includes ensuring vendor coordination with the warehouses for smooth and cost-efficient receiving at warehouse locations.

Coordinate internally with the Humanitarian Assistance team (responsible for partner management and quilt and kit distribution) around inventory and shared information tracking.

This includes high-level coordination between the warehouses and the HA team relevant to outgoing shipment requests and planning.

Fieldwork Projects

Drive a 26' rental truck for smaller collections across the country. This includes being physically capable of loading and unloading the truck, with or without a lift gate or hand truck;

boxes of donations can weigh up to 50 pounds. May include use of local storage facilities, working with freight forwarders or local truck yards to combine collected loads, or direct delivery to one of the two warehouses.

As needed, travel to various local Ingatherings to provide support to Key Leaders and Site Coordinators and to engage with donors during collections.

These trips may also include focused data collection for the purpose of domestic logistics strategy development and measurement.

Once the new tracker system is developed, this position will work closely with the wider quilt and kit and fundraising team to implement the platform and introduce it to donors.

Day-to-day maintenance, monitoring, troubleshooting, and serving as the main donor point of contact on tracker-related questions will be an ongoing part of this role.

Documentation, Reporting, and Data Management

Receive and track monthly / weekly inventory reports from both warehouses and capture relevant data in internal shared systems.

This includes ensuring that updated inventory information is readily available across multiple departments.

Complete monthly inventory Journal Vouchers for submission to Finance & Administration team. Includes coordination with the Humanitarian Assistance team for packing lists and information.

Provide monthly updates and inventory analysis to team leaders and updates to department and organizational leadership as requested.

Manage team budget tracking and all relevant invoice processing in a timely and accurate manner.

Supervisory :

This role has no staff supervisory responsibilities.

Required Qualifications :

  • Bachelor's or Associate's degree in logistics management or commensurate years of experience in relevant .
  • Current and valid drivers' license; truck driving certification a bonus.
  • A background check and driving record will be required; costs for this requirement will be covered by LWR.
  • At least five years experience in logistics or business operations required
  • At least five years experience ; previous experience with UPS, FEDEX, Amazon, campus or camp vehicles helpful
  • Database experience required
  • Experience working with common office-based computer systems required (Microsoft Word, Excel, etc.)
  • Project management experience helpful

  • Strong social-emotional intelligence and delight in engaging with donors required; experience working with faith-based volunteers preferred
  • Strong organizational skills

Physical and Mental Requirements :

The physical requirements that may be needed to execute responsibilities may include bending, standing, and walking, etc.

Must be physically capable of loading and unloading a truck, with or without a lift gate or hand truck; boxes of donations can weigh up to 50 pounds

  • Must be physically capable of sitting / driving for 6-8 hours / day
  • The mental requirements that are essential to satisfactorily executing the responsibilities outlined in this job description include, but not limited to : learning new tasks, comprehending, and retaining information, completing tasks independently, effectively communicating verbally and in writing, demonstrating proficiency in using computer software to perform assigned tasks.

Working Conditions, Travel and Environment

This position must be able to travel as required for standard domestic business purposes. Expect a minimum of travel 30% of the time, with heavier travel in the Fall and Spring seasons.
