Definition of Classification :
Reporting to the Associate Registrar, this position ensures the accuracy and integrity of academic records. They assist students and faculty regarding grades, forms, and other changes to academic records.
Duties and Responsibilities :
The duties and responsibilities include, but are not limited to, the following :
- Process the verification of grades, grade changes, and military grades and answer all faculty and student questions regarding grade processing
- Processes all major / minor declaration forms and assign advisors
- Activates student records and processes registration
- Processes student petitions : overload, add / drop, May term eligibility
- Work closely with the College Dean’s office to ensure the accuracy of placement data provided and then upload all placements, including but not limited to writing, math, and foreign language.
- Creates independent studies courses for the various schools and colleges.
- Code students for Registration and send communications to those students as applicable.
- Process all special handling registrations including but not limited to cross-registration, May term, Salzburg, study abroad, First Year Seminar and plus two courses.
- Maintain the student activation process ensuring new student records are activated correctly and manually activate any students who fall outside of the process parameters.
- Maintain the Waitlist process communicating clearly with faculty and students regarding workflows and responsibilities.
- Front desk coverage when needed
- Performs other duties and special projects as assigned or directed.
Qualification Guidelines
Any combination equivalent to, but not limited to, the following :
Experience / Training / Education :
Required
- Bachelor’s degree.
- Registrar’s Office or Higher Education experience including editing and strong writing ability preferred.
Knowledge and Skills :
Successful candidate will have experience with editing and strong English writing ability; strong communication skills, both oral and written;
excellent proofreading and editing skills; proven experience in data entry of large amounts of data with high level of accuracy.
- Must be organized and a self-starter with good attention to detail.
- Ability to handle multiple tasks in a fast-paced environment.
- Ability to understand complex policies and procedures and interpret them to students.
- Must have exceptional communication, organizational and customer service skills.
- Ability to handle multiple tasks with tight deadlines.
- Must be able to competently interact with a diverse population of students, staff and faculty.
Physical Requirements / Working Conditions :
Working Conditions :
Standard office setting. Duties performed are primarily in an office environment while sitting at a desk or computer workstation or in meetings.
At least minimal environmental controls to assure health and comfort.
Physical Demands :
- Incumbents regularly sit for long periods; walk short distances on a regular basis; may travel to various locations to attend meetings and conduct work;
- use hands and fingers to operate an electronic keyboard or other office machines; reach with hands and arms; climb stairs;
- stoop or kneel or crouch to file; speak clearly and distinctly to answer telephones and to provide information; see to read fine print and operate computer;
hear and understand voices over telephone and in person; and lift, carry and / or move objects weighing up to 20 pounds.
