The Director of Billing & Collections oversees all aspects of the Firm’s billing and collections processes. This role is responsible for management, training, and development of the personnel within the billing and collections department including the billing coordinators, supervisors and managers.

The Director of Billing & Collections is a member of the Firm’s senior management team and collaborates with other departments to contribute to the overall success of the Firm.

The ideal candidate will have a strong working knowledge of Elite 3E in the cloud, as well as eBilling Hub (eBH). Direct experience with time and billing platform conversion and implementation is a plus.

This is a full-time exempt position, with the ability to work remote, hybrid, or fully on site in any of our five offices in Virginia.

Required Qualifications

  • Three (3) years of experience managing a team of billers in a law firm.
  • High proficiency in billing software platforms, specifically Elite 3E (cloud-based) and eBilling Hub.
  • Proven ability to manage a team and help others develop new skills.
  • Strong work ethic with a willingness to take ownership of tasks and projects and see them through to their completion.
  • Ability to resolve problems and concerns with a high level of professionalism.
  • Strong strategic thinking skills with the ability to develop and implement policies and procedures.
  • Excellent communication skills, both written and verbal, with the ability to effectively interact with clients, employees, colleagues, and external stakeholders.
  • Ability to use data to monitor and manage resources and workload. Skilled in using data to report on output, performance and process efficiency.
  • Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities and tasks.
  • High level of discretion and confidentiality in handling sensitive client information.
  • Commitment to providing excellent customer service and representing the Firm in a professional and courteous manner
  • Proficiency with Microsoft Office Suite.

Responsibilities

  • Lead and manage the billing and collections team, including hiring, training, and performance management.
  • Work directly with 3E partners and internal billing team throughout software implementation and any ongoing needs.
  • Participate in trainings and meetings regarding 3E and e-billing Hub software.
  • Participate in testing new software and assisting with correcting any information in current system needed for the 3E software and e-billing Hub.
  • Oversee all billing processes for the Firm, including the implementation of policies and procedures to ensure accurate and efficient generation and delivery of invoices and the tracking and collections of outstanding balances.
  • Provide guidance and support to team members on complex billing issues.
  • Communicate effectively with billing coordinators and client representatives to address questions, resolve billing setup issues and appeals, and ensure client satisfaction.
  • Monitor and manage billing systems and software, ensuring they are up-to-date and functioning properly.
  • Conduct analysis of recurring billing issues and implement corrective actions.
  • Provide training and support to attorneys, staff, and billing personnel on billing processes, software usage, and compliance with client billing guidelines.
  • Collaborate with internal departments to streamline the billing workflow and resolve any billing-related issues efficiently.

Coordinate with external vendors and service providers as needed.

  • Stay informed about industry best practices, changes in billing regulations, and advancements in billing technology. Proactively identify opportunities to enhance billing processes, reduce inefficiencies, and optimize billing performance.
