Summary :
Otto Environmental Systems has a new position for Customer Service Specialist to join our team in the Charlotte, NC manufacturing facility, currently in expansion mode.
This position will provide superior customer service and support to Otto's clients in residential waste management .
Responsible for receiving and processing customer orders for products and / or services - from order entry, collaboration / tracking of order production, order shipping, order shipment tracking, order receiving and order billing, along with follow-up after the sale.
The Customer Service Specialist role will also work as a team with our internal departments of Sales, Manufacturing, Production, and Logistics to ensure optimum customer service satisfaction.
The position performs order-processing functions and open order book management functions for a specific sales region to facilitate matching customer requirements with products and services, and meeting customer requirements for product delivery.
In the event of a delivery issue, the associate will assist in analyzing and in rectifying customer concerns and reporting the customer complaint, as may apply, to the Customer Service Manager with copy to the Director of Customer Care.
Key activities of this position are as follows :
- Incoming cold call sales.
- Effective written and verbal presentation to customers while quoting business and / or providing status of open orders.
- Entering of customer orders into Syteline (INFOR) Operating system.
- Requests for purchase orders of products manufactured by outside contractors.
- Coordination with shipping department specific delivery schedules / estimates as requested by the customer.
- Establishment of good will with customers and promotion of the sale of company products.
- Response in a timely manner to technical questions and service related tasks.
- Responsibility in part for improving the quality of products or services provided by department.
- Recommendation of improvements to processes, products, services, or procedures.
- Participation in the implementation, maintenance, and improvement of the company quality system.
- Preparation of paperwork for new graphics request orders.
- Maintenance and recordkeeping of customer files per document retention policy.
- Arrangement of customer sample orders and marketing materials as may be needed.
Communication :
Supports ISO and TS certification activities.
Any other duties as assigned by the Customer Service Supervisor, Customer Service Manager, or Director of Customer Care.

EMPLOYEE ENVIRONMENTAL & SAFETY RESPONSIBILITIES :
ISO 14001 EMS :
Follow all policies and operational procedures pertaining to the company's Environmental Management System.
These duties include, but are not limited to, following departmental recycling procedures, reporting spills and /
or leaks of water, oil, raw materials or compressed air to management, handle raw materials, chemicals and
propane as per operational control plans and participate in all energy reduction programs.
SAFETY :
Follow all company safety policies and procedures. Immediately Report any injuries, unsafe or hazardous work conditions to Management.
Wear all required PPE as directed. Participate in all company Health and Safety
meetings.
EDUCATION AND EXPERIENCE :
- Associate's degree or comparable experience
- 5 year's sales / customer service experience in a manufacturing, production and logistics environment
- Must be self-motivated and perform job duties with minimal supervision.
- Syteline experience a plus .
WORKING CONDITIONS :
PHYSICAL ENVIRONMENT : Office, Plant, Warehouse, or Remote locations.
