Position Summary :
The Senior Facilities Coordinator will support the maintenance and facilities operations of the New York Proton Center building.
This person will oversee maintenance, including HVAC, plumbing and electrical, landscaping, and janitorial duties. The Senior Facilities Coordinator will work with the facilities and operations team to maintain a safe work environment.
Duties and Responsibilities :
- Managing facility-related projects from inception to completion, including planning, scheduling, budgeting, and coordinating resources.
- Assist with the maintenance of the building, including identifying issues that need to be addressed (lighting, paint, etc.)
- Oversee and track NYPC SharePoint work orders, manage until request completion.
- Assist Facilities Director with keeping required DOB permits up to date.
- Manage the building storage space(s) and work with business units to inventory materials for proper storage.
- Process and oversee inventory requests, organizing and keeping track of inventory information, alerting the Admin Assistant when office items need to be replenished.
- Collaborate with Facilities Director to design space layouts and order any necessary furniture.
- Provide coverage for the Facilities Admin Assistant and Facilities Technician during their absence.
- Assist the Facilities Director with implementing Facilities / Operations Policies and Procedures.
- Identify opportunities for process improvements and implementing best practices to enhance the efficiency and effectiveness of facility operations.
- Facilitate internal space moves, help set-up spaces for new employees
- Develop and maintain positive relationships with internal clients
- Attend scheduled meetings to stay informed of changes in policies and procedures
- Ensure that OSHA requirements are effectively followed
- Comply with all New York Proton Center policies related to Privacy Rules established under the Health Information Privacy and Portability Act of 1996 (HIPAA)
- Perform other job-related duties, as assigned
Qualifications :
- High School graduate or equivalent
- Minimum of five (5) years of experience performing facilities maintenance in a healthcare setting.
- Strong knowledge and experience with the MS Office Suite products.
- Comprehensive documented knowledge of methods and techniques of the trade (facilities, maintenance, safety, etc.).
- Knowledge of methods and techniques of the trades (HVAC, electrical, plumbing, etc.) is essential.
- Must be able to work independently and exhibit initiative to solve problems, including tracking situations until appropriate resolution is achieved.
- Capable of working in a fast-paced environment.
- Must be "hands-on" and assist in completing maintenance work.
- Strong knowledge of mechanical systems that serve the building.
- Attention to detail and problem-solving skills.
- Strong written and verbal communication skills.
