The Job at a Glance

The Legal Operations Specialist (LOS) position is multi-dimensional, with the primary role to perform administrative functions and provide support.

The LOS is responsible to perform various duties, which include, but are not limited to, the following : processing all Deceased Accounts, Trusts, Powers of Attorney, Third Party Authorizations, Estate, Guardianships, Garnishments, Citations, Levies, Liens, Subpoenas, Summons, Warrants, and Court Orders.

The LOS will train in other areas in the Department. For example, Bankruptcy. The LOS will be responsible to perform legal research and understand all applicable law related to the daily job functions.

The LOS routinely interacts with branch and departmental staff, members, member's family, attorneys and law enforcement officers.

A Typical Day

  • Perform daily functions to ensure the Department operations flow smoothly.
  • Have advanced knowledge of the duties and responsibilities performed as a LOS.
  • Understand the applicable laws, procedures and policies related to job functions.
  • Investigate and conduct limited legal research which may include retrieval of applicable statutes and regulations.
  • Must process legal documents pertaining to members in a confidential, accurate and efficient manner while paying attention to detail.
  • Monitor files and track deadlines to comply in each area as needed.
  • Strong problem-solving skills and the ability to be resourceful and work with minimal instruction or supervision.
  • Strong communication skills to deal with legal professionals, law enforcement, branch staff and other individuals.
  • Be proactive and take initiative to provide recommendations and suggestions to help the credit union become more efficient.
  • Handle all duties and responsibilities, including responding to e-mails, phone calls and processing incoming and outgoing mail.

Ability to follow thru in a timely manner and meet deadlines.

  • Respond to member and branch staff requests, problems and / or complaints. Resolve issues and / or direct staff to the appropriate person for specific information and assistance.
  • Excellent member service skills and ability to handle complex situations with confidence and in a professional manner.
  • Accept empowerment and exercise independent decision-making skills
  • Take on a leadership role within the credit union by living our Core Values, Mission and Vision Statement.
  • Represent the credit union to members making it "Your Pleasure" to provide prompt, informative and convenient service that exceeds member and staff expectations.
  • Assume responsibility for Department performance, productivity and department staff performance through individual contributions.
  • Assists the Department in employee training and / or works with the Training Department to provide training to staff.
  • Train with Bankruptcy Paralegal to obtain an understanding of general duties and responsibilities to serve as backup.
  • Perform other duties and assist fellow credit union employees, as assigned by supervisor.
  • Understand and adhere to the credit union's policies and procedures.
  • Reports to Legal Operations Manager
  • Works with members, branch staff and other support departments regarding account issues
  • Frequent interaction on the telephone with attorneys, law offices, court clerks, members, member's family, and law enforcement.

What We Look For

  • Bachelor's Degree or related LOS experience preferred or 2 years of credit union experience. Will accept any suitable combination of education, experience and / or training.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills with the ability to prioritize, ability to pay high attention to detail and use good time management skills.
  • Must be a self-starter, take initiative and able to research information where needed.
  • Ability to work efficiently, independently and in a team environment.
  • Ability to research, review and use good judgment and discretion to make sound decisions.
  • Ability to multi-task in a fast-paced environment with a high degree of accuracy and ability to interact and maintain a positive attitude while learning and under challenging circumstances.
  • Professional appearance and act with integrity and commitment.
  • Working knowledge of computers and software, proficient in Word, Outlook and Excel.
