Under limited supervision, the Commercial Loan Operations Specialist is responsible for booking and funding new and renewed loans and posting payments and advances on loans.

Loan types will vary and the Commercial Loan Operations Specialist will use advanced knowledge to work on more complex and / or specialized loan types and may be assigned a focus area.

In addition to monitoring an individual pipeline of loans, will perform quality control reviews on the department’s work to ensure compliance with established internal and external regulations.

Essential Functions

Performs loan account maintenance in the Bank’s core loan system and ancillary onboarding systems. Maintenance includes inputting new and renewed notes, note modifications, and guarantor records.

Performs quality control review of work input by other processors.

Monitors a pipeline of loans with varying pricing options, seasonal limits, tired commitments, prepayment penalties, and breakage costs.

Calculates payments, penalties, and payoff timelines and communicates to external stakeholders, lending staff, and loan clients.

Processes note payments and corresponding GL entries to ensure loan accounts remain in balance. Researches outages and processes corrections and reversals as appropriate.

Assists other processors in resolving outages.

• Calculates fees and charges associated with loan accounts; reconciles funding requests against collected fees / charges.
• Reviews loan advance requests; confirm borrowing base requirements are met and inspection reports are available prior to releasing funds.
• Responds to escalated inquiries for research and processes complex transactions and set-up requests. Reviews and resolves rejected and unposted items.
• Reviews exception reports; coordinates with lending staff to resolve and clear exceptions within the core banking system.
• Generates reports related to loan pipeline and provides to lending staff and / or lending management and other stakeholders.
• Identifies deficiencies with approvals and / or documentation on unusual transactions and resolves with lending staff or other appropriate entity.

Guides other processors in identification and resolution of deficiencies.

Reviews documentation, manuals, and other departmental guidelines and provides recommendations for process improvements.

Assists with the development and documentation of new procedures and processes and communicates updates to the team and key stakeholders.

• Participates in special projects as assigned by the Credit Operations management team. May perform QA and UAT testing when needed.

Job Requirements

• High School diploma, general education degree (GED), or equivalent required.
• 3-5 years of loan servicing required with a strong preference for experience in a commercial bank.
• Must have good working knowledge of credit / loan operations regulations and associated transaction workflows.
• Excellent PC skills, including word processing and spreadsheets via Microsoft Office products as well as custom applications and systems.
• Excellent verbal, written and interpersonal communication skills.
• Excellent analytical, time management, organizational and problem-solving skills with the ability to multi-task and produce error-free work in a deadline-driven environment.
• Must be self-motivated with strong attention to detail and accountability.
