Responsibilities :
- Provides excellent customer service : answermain phone lines and direct calls; greet clients andvendors
- Ensures that mail is sent out of theoffice i.e. regular mail certified mail or overnightmail.
- Performs legal research.
- Performs efilings prepare pleadings notebooks updateindexes and prepare exhibits.
- Maintain andorganize files in an orderly manner.
- Abilityto draft standard pleadings correspondence memoranda and otherdocuments.
- Timely reviews and ensures accuracyof vendor invoices; prepares accurate check requests and timelysubmits invoices for payment to client or accounting.
- Possesses knowledge of clientspecific billing guidelinesand restrictions and consistently applies those guidelines toensure costeffective practices.
- Participatesin the timely review and submission of prebills and / or clientbills.
- Possesses strong clerical skillsincluding typing transcribing word processing mail and contactmanagement spreadsheets presentations and all of the firms systemsand databases.
- Accurately files courtdocuments both electronically and in document form and able todetermine and follow any local or judge specific requirementsrelated to same.
- Exhibits good judgment andorganizational skills to receive record and disseminate allinformation on behalf of the clients and assigned attorneys (e.
g.mail interoffice mail email etc.)
- Consistentlyprovides friendly and helpful telephone support and / or receptionistrelief.
- Regularly and accurately proofreadsall documents to ensure accuracy and completeness prior todistribution or filing.
- Regularly anticipatesthe needs of assigned attorneys in order to promote timekeeperefficiencies (i.e. drafts correspondence prepares shell pleadingand discovery documents in advance).
- Routinelyreviews and followsup on client deadlines and calendarappointments.
- Coordinates and makes necessaryarrangements for meetings (i.e. depositions mediations interviewsand vendor and facility reservations).
- Assistsassigned attorneys with completing and tracking CLE compliancepresentations and training programs other business developmentactivities and organizing all other nonbillableactivities.
- Accurately prepares and submitsclient intake forms.
- Follows the standardnaming and profiling conventions when scanning emailing and savingdocuments to the document management system.
- Regularly and consistently updates client files notebooksand pleading indices.
- Maintains attorneyspecific case lists charts and status of cases andoutcomes.
- Understands and accurately managesaudit requests.
- Consistently updates allapplicable contact records (including attorneys outlook and firmdatabase).
- Timely reviews followsup on andaccurately files clientrelated emails.
- Properly prioritizes work assignments.
- Seeks appropriate assistance (from the office manager orattorneys) when conflicts arise.
- Consistentlycompletes assigned tasks when expected.
- Ableto juggle multiple assignments and / or deadlines while maintaining aprofessional demeanor and timely seeks assistance whenneeded.
- Willing and capable to offerassistance to others when needed.
- Enter reviewand revise timesheets accurately.
- Proofreadall documents independently and effectively to ensure accuracy andcompleteness.
- Develop implement and maintainsystems to promote organization and efficiency.
- Understand and comply with office policies concerningfile management case lists filing and recordkeeping.
- Effectively manage and monitor calendaring of deadlinesand key dates.
- Exhibit knowledge of litigationprocess.
Requirements :
- Minimum of a high school diploma required(College degree is preferred but not required).
- Minimum of five years of experience as a legal secretaryrequired.
- Lexis Nexis Pacer ECF Desksite ordocument management system CompuLaw Concur Word Outlook PowerPointand Excel.
- Attendance & Punctuality : Beconsistently at work and on time; arrive at meetings andappointments on time; ensure work responsibilities are covered whenabsent.

- Accuratetyping at a net speed of 65 wpm (shorthand / speedwriting aplus).
- Strong computer proficiency in the useof MS Office (Word Excel PowerPoint and Outlook) DocumentManagement System Time Entry eFiling and databasesoftware.
