Athletic Director - Middle School / K-8

Unit : Athletics

Pay Rate : Schedule C of the GREA contract

Earning Days : Determined annually by the calendar

ATHLETIC DEPARTMENT MISSION : GRPS will create educational opportunities and experiences, through athletics, that will enhance student achievement, student development and school culture.

SUMMARY OF POSITIONS : The Athletic Director will perform the duties at the assigned school during the assigned athletic program.

The Athletic Director will also cover any other event that requires administration present and the High School Athletic Director (AD) has a conflict with another contest or the contest requires more administrative presence to run the event safely and organized.

Regular on time and in person attendance is an essential function of this job. Other essential functions may include, but are not limited to the following :

  • The AD is to positively promote the athletic program to students, staff, parents and the community.
  • Emphasize the importance of skill development and learning along with healthy competition, good sportsmanship and the importance of academics in relationship to athletics.
  • Encourage continuation of athletic participation in a GRPS high school and cooperate with the Athletic Department and other middle school ADs to deliver the best program possible.
  • The ADs should be professional at all times by positively representing GRPS and GRPS Athletics, displaying empathy for others which includes, colleagues, student, and all staff and faculty.
  • Work effectively with colleagues and students by practicing punctuality, respect for deadlines, collaborative problem solving and honest communication.
  • Dress appropriately for any and all contact with our student-athletes and the public.
  • Build trusting relationships by acting with integrity, courtesy, and responsibility, even in the face of stress or other demands.
  • Maintain required standards of confidentiality and safety and maintain work areas in a clean and orderly manner.
  • The ADs are required to schedule physicals, provide students with information regarding the date of the physical and the medical history form, work with the doctor the day of the physical, keep records of the date of all physicals, keep students medical history form on file for a minimum of 7 years and ensure that no one is participating in any athletic activity without having a physical.
  • Make sure no one is participating in any athletics activity without having paid the insurance fee, collect money from each athlete, deposit the insurance money in the appropriate account, submit a copy of the deposit slip and the insurance remittance form to the Athletic Office.
  • The AD is responsible for making sure no one is participating in any athletic activity without having completed the permission slip and code of conduct.
  • Create and maintain accurate and updated rosters of every athletic team in your building or on your cooperative team. Rosters must be submitted to the district office prior to the first official competition.
  • The AD is responsible for providing schedules and any updates to coaches and to building personnel.
  • The AD will verify time, place and other pertinent information for the game with the officials. Vouchers must be returned to the district athletic office immediately after the event so the official may be paid.

The AD must note any issues that occur with the officials on this voucher.

  • The AD will be responsible for managing / running home events, hiring / scheduling game help for assigned games, set up ticket takers, document sales of tickets and provide results to district athletic office via email for accurate documentation.
  • The AD processes the paperwork for payment to officials and for purchases and payments to vendors.
  • The AD is to work with the district athletic office to hire coaches for each sport, make sure all necessary paperwork is completed prior to a coach beginning work;

this includes applications and all required documentation.

  • The ADs are responsible for confirming individual pick times and locations. Any issues regarding transportation need to be relayed to the district athletic office in the form of an email.
  • The ADs and / or coaches must be sure all athletes have a way home prior to leaving the practice and / or game site.
  • The ADs are responsible for monitoring the academic and behavioral eligibility of student-athletes.
  • The ADs will be trained in synergy to assist in grade and behavior eligibility information.
  • The ADs are to ensure that student athletes are under adult supervision at all times at all home and away games.
  • During away games, the AD of the visiting school should be in attendance and assist the home team AD.
  • If an AD is unable to attend the event due to unavoidable reasons, it is the AD’s responsibility to inform the AD of the opposing team and try and provide an adult replacement.
  • For all home games, in addition to running the event, ADs are responsible for making sure the playing area is setup to provide a safe environment for athletes, officials and spectators.
  • Communicate with custodial staff for the set-up of each event and do a walk-through of the site and make sure all walkways and areas are safe during inclement weather.
  • The AD is responsible for keeping accurate inventory of athletic equipment, evaluate the condition of equipment and uniforms at the end of each season and work with the coaches and administration to retrieve any uniforms and equipment that are not returned by the athletes at the end of the season.
  • The ADs must keep accurate documentation if situations occur throughout the season and these must be attached to the evaluation and submitted to the district athletic office.
  • The AD supervises the building athletic needs and reports to the district athletic office.
  • All ADs will be trained in Outlook and must monitor their mailbox on a regular basis for communications from the athletic office, school and parents.
  • Any questions, comments, concerns, or suggestions should be addressed as soon as possible.
  • The order of communications that will be followed under normal circumstances is as follows : Coach, AD, MS Coordinator, Exec. Director.
  • Before, during and after each season it is imperative that the AD communicates with not only their coaching staff, but students / athletes, parents, staff, and faculty.
  • Utilization of social media and written communication should be done on a regular basis.
  • If any social media page is created, please share the information with the district athletic office.
  • The ADs are to attend all meetings that are scheduled by the Athletic Department and assist in all the fundraisers, i.e.

Turkey Trot and Middle School District Events (Track, Cross Country, Swimming, etc.).

Perform other duties as assigned.

REQUIRED QUALIFICATIONS :

  • Minimum high school diploma.
  • Prior Coaching Experience and / or Athletic Experience.
  • Excellent communication skills (verbal and written).
  • Good time management and organizational skills.
  • Flexible Schedule; including Evenings and Saturdays.
  • Reliable transportation and a valid Michigan driver’s license.
  • If required, the capacity to be bonded.

PHYSICAL DEMANDS :

The employee must occasionally lift and / or move up to 40 pounds. Specific vision abilities required by this job include close vision, distance vision and ability to adjust / focus.

WORK ENVIRONMENT :

The noise level in the work environment is usually loud to moderate. Work is performed indoors although there will be required outdoor activities.

The employee is directly responsible for the safety, well-being and work output of students.

MENTAL FUNCTIONS :

While performing the duties of this job, the employee is required to compare, analyze, communicate both orally and in writing, copy, coordinate, instruct, compute, synthesize, evaluate, use interpersonal skills, compile and negotiate.
