Join our team as an Office Assistant / Receptionist!
Frost Brown Todd LLP , a national law firm with 1000+ legal and business professionals across seventeen offices, is currently searching for a full-time Office Assistant / Receptionist to join our Pittsburgh Office.
This role supports general office operations and plays a key role in delivering exception service to both clients and office personnel.
Key Responsibilities :
- Answer phone calls, directing them to the appropriate attorney or business professional. Greet clients and visitors with a professional demeanor, directing them to conference rooms or designated areas.
- Ensure the cleanliness and organization of the conference center, reception desk, surrounding areas, and kitchens. Responsibilities include cleaning coffee pots, preparing coffee, stocking the refrigerator, loading / unloading the dishwasher, and providing beverage services.
- Maintain the conference center schedule using web-based software. Coordinate with other departments and personnel as needed.
Arrange catering with external vendors, coordinate payment and delivery or pickup (if within walking distance) and set up lunches in the conference center.
- Organize and maintain client and firm files in designated locations. Assemble and file information using alphabetical, numerical, and other filing systems.
- Provide general secretarial assistance as needed, such as copying, scanning, assembling files, making travel arrangements, submitting expense reimbursements, attorney time entry and other routine tasks.
- Retrieve and sort incoming mail, distribute it accordingly, and process outgoing mail, including overnight packages via UPS and FedEx.
- Deliver and file legal documents within the Pittsburgh area.
- Maintain accurate parking validation and visitor logs.
Job Requirements :
- Some college preferred, or equivalent combination of education, training, and experience.
- Previous law firm experience preferred.
- Ability to retrieve and distribute files weighing up to 40 pounds and ability to retrieve and replace objects from shelves up to 8 feet high, sometimes a large amount in a day.
- Ability to operate office equipment including personal computer, photocopier, scanner and fax machines.
- Excellent verbal and written communication skills.
- Exemplary organization and attention to detail skills, and ability to multi-task.
