Deputy Clerk of Courts - Collections

Position Summary

This position is responsible for monitoring all court cases which have monetary obligations owed to Walworth County. SUPERVISION This position acts as a lead worker to the Administrative Clerk II (Collections).

Days : Monday - Friday

Work Hours : 8 : 00 a.m. - 4 : 30 p.m.

Hours Per Shift : 8

Shifts Per Pay Period : 10

Essential Duties and Responsibilities

This job description reflects management's assignment of essential functions; it does not prescribe or restrict the tasks that may be assigned.

Set up payment plans for cases with monetary obligations. Follow Policy Statement for collections. Track and send past due notices. Process bankruptcy notices filed with the Court. Determine which cases should be turned over to the Department of Revenue, Department of Transportation and / or collection agency. Work with the Department of Revenue and collection agencies on recouping bad debt. Receipt all mail payments and apply to existing assessments. Print and revise "Due to be Released" reports. Check for monetary obligations to the county / state for prisoners who are about to be released from jail / prisons. Print and review payment history and time expired reports. Prepare and review other reports. Review and interpret simple to complex court orders for accurate payments. Prepare and enter Judgments and Satisfaction of Judgments. Print daily calendars. Process Order for Commitments. Appoint Court Appointed Attorneys and prepare necessary paperwork regarding their court appointment. Process Wage Assignments. Enter Judgments for Court Appointed Attorney fees. Track cases for final orders for recouping all monetary obligations. Track final billings from Court Appointed Attorneys and Guardians ad Litem and set up payment plans if required. Make necessary adjustments on receipts receivable. Amend all Criminal Judgment of Convictions for Court Appointed Attorney fees. Assign dates for Excess Huber Funds on current inmates at the Huber dorm. Set Probation Review Hearings for inmates being released from prison who have monetary court obligations due to the county / state. Back-up Calendar Clerks and other Deputy Clerk positions. Demonstrate a commitment to county safety and risk management efforts.

Qualifications

EDUCATION AND / OR EXPERIENCE High school plus two additional years of formal preparation and two to three years of relevant prior experience; or some formal preparation with a minimum of four years of directly related legal experience. Proven experience in ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals as well as ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Proven experience with legal terminology.

INTERACTIONS & COMMUNICATION Provides specialized information and / or recommendations to others regarding an area of expertise. Responds to requests and initiates contacts to exchange basic or general information with others.

DECISION MAKING This position has authority to make decisions that are within general procedures and protocols; supervision is available as required or requested. These decisions directly impact performance in the job and / or work unit within the department and information is provided with additional research and observations which contributes to the decision making process.

THINKING & PROBLEM SOLVING In relation to established procedures, protocols and policies of the County, challenges in this position tend to be diverse, but are typically covered by precedent or established practice.
