Overview

The Biopathology Center (BPC) within The Abigail Wexner Research Institute at Nationwide Children’s Hospital (NCH) is a primarily grant-funded biorepository and clinical laboratory with the objective of acquisition and long-term storage of a large number of cancerous, normal and diseased biospecimens and related data.

These biospecimens are used for supporting and facilitating cutting edge research and advancing clinical patient care. In accordance with provisions of approved protocols, the BPC serves as biorepositories for the Children’s Oncology Group (COG), NRG Oncology, SWOG (formerly the Southwest Oncology Group), the Pediatric Division of the Cooperative Human Tissue Network (pCHTN), Experimental Therapeutics Clinical Trials Network (ETCTN), and other sponsor groups.

The BPC is a fast-paced, team-oriented environment that requires the ability to work well under pressure and maintain careful and constant attention to detail.

The position requires frequent communication via phone and email with submitting institutions, internal coordinating laboratories, and external investigators / laboratories.

This position serves as a supporting role to facilitate clinical testing and research on incoming and stored biospecimens and their related documentation (i.

e., pathology reports, etc.). (This role does not perform hypothesis-based research on the biospecimens.) The Redaction Clinical Research Assistant’s primary responsibility is to support the activities of the BPC by ensuring appropriate handling of related and protocol-specific paperwork, which will frequently contain personally identifiable information (PII).

This role includes, but is not limited to, screening and redaction of all incoming documentation, determining proper handling and dissemination of paperwork based on protocol requirements, compliance with HIPAA and NCH HIM policy, tracking of specimen-specific paperwork, including redaction status, organization and location of original documents, redacted and electronic versions of said documentation.

In addition to redactions, this position may also provide general research support to collaborating team members and BPC leadership, as needed, including knowledge-sharing and cross-coverage with other BPC teams.

Responsibilities

PRINCIPAL DUTIES AND RESPONSIBILITIES

  • Receives incoming supporting documentation for biospecimens received for testing and / or banking. Determines next steps for said documentation, depending on the related specimen’s purpose and / or protocol.
  • Uses knowledge of medical terminology and HIPAA requirements to evaluate and appropriately redact all PII that is not required for testing, etc.

by using working knowledge of protocol / testing requirements and established decision tree / SOP(s).

Provides quality control of appropriate redactions in the required turn-around time (TAT) and logs / documents work performed.

May perform primary, secondary, or QC of all redactions, depending on workload, team scheduling, or other factors.)

  • Takes initiative to resolve discrepancies quickly and accurately by using available resources or notifying manager(s) in a timely manner.
  • Depending on protocol and / or banking requirements, scans redacted documentation into appropriate file and moves document forward in processing.

Communicates clearly and often to downstream team members to ensure TATs are met.

Maintains required computer skills and inputs data for incoming cases into data capture system (STARS) or laboratory management system (LIMS) (LabVantage).

Uses JIRA to assess redaction specifications to ensure redactions are performed according to protocol requirements. May assist with other (non-redaction) data entry, as needed.

In addition to redaction responsibilities, may be required to serve in a general support capacity for cross-coverage and / or work load fluctuation.

Duties may include (but are not limited to) : copying / scanning and / or filing documents, ordering / maintaining laboratory and / or operating supplies, assisting with travel arrangements / reimbursements, equipment inventory, scheduling (calls, meetings, site visits, etc.

for internal or external collaborators), invoice processing, spreadsheet creation / management, poster presentations (PowerPoint), grant deadlines, and assisting managers and other BPC team members with various tasks.

  • Frequently assumes ad hoc projects and special requests while balancing existing workload.
  • Participates in quality assurance and continuing education programs. Demonstrates knowledge of and upholds applicable laws and regulations related to position.

Follows policies and procedures of the Biopathology Center, NCH and the Research Institute and stays current on HIPAA requirements to prevent the possibility of any type of information / data breach.

Participates in all HIPAA updates and NCH workshop offerings provided by NCH HIPAA compliance leadership and works with manager to seek out additional / ongoing training / learning opportunities related to HIPAA, redaction, and health information management relative to research.

Qualifications

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED

  • Associates degree in Health Information Management or related field preferred or work equivalent experience. One to two years of medical office / laboratory experience required.
  • Knowledge of medical terminology and / or physiology and Health Information Portability and Accountability (HIPAA) law / requirements strongly preferred.
  • Must have outstanding organizational skills and the ability to exercise close attention to detail at all times. Must possess ability to multitask with strong forward-thinking skills and be able to maintain work consistency regardless of intensity or monotony of task(s).
  • Must have computer experience and be proficient with Microsoft Office, including Excel. Must have the ability and aptitude to learn new data capture systems unique to the BPC and a laboratory environment.
  • Must have strong oral and written communication skills and the ability to establish and maintain effective interpersonal relationships with co-workers, leaders and BPC customers as required for BPC mission success.
  • Must be able to work efficiently and independently while promoting a team environment for a cooperative and supportive atmosphere.

MINIMUM PHYSICAL REQUIREMENTS

  • Ability to stand for more than 1 hour at a time, sit for more than 1 hour at a time.
  • Good visual and auditory acuity.
  • Full use of hands and arms.
  • Ability to speak clearly.
  • Ability to lift up to 30 pounds occasionally.
  • Intensity of the workload in this position will vary; it will be heavy but manageable most of the time.
  • Pressure may arise due to various deadlines or unusually high work volume.
