PURPOSE

TheArea Assistant position will assist the Site Manager to ensure that all centerservices are provided as required; this position includes a large variety ofservices to support the Site Manager and assigned centers.

  • Duties may include, but are not limited to,general clerical support; maintaining child and family files; answer phone;purchase orders;
  • shopping; producing newsletters / flyers; assist in all areas ofcenter operations as assigned or required; provide supportive modeling andguidance for young children and their parents;
  • provide general clerical supportand / or special project(s) support to the Site Manager or Agency as assigned bythe IS / ERSEA Coordinator;

responsible for meeting Head Start performancestandards and following the Agency policies and procedures.

ESSENTIAL JOB DUTIES :

I.GENERALCLERICAL DUTIES

A.WordProcessing and Data Entry

  • Letters,forms and reports;
  • Maintainand monitor database information;
  • Generatenewsletters, memos, etc.;
  • Generaterequired reports as assigned.

B.SpecialProjects

  • Providesupport for Agency level projects, as assigned;
  • Assistwith coordination of meetings and / or events.

C.Filing

  • Sort,cross reference, and file letters, reports and / or other documents;
  • Maintainup-to-date files and systems.

D.Mail

  • Open,sort, and / or distribute incoming mail, messages, and / or reports;
  • Pick-upand drop-off interagency and postal mail / packages as directed.

E.Photocopying,Collating, and Laminating

  • Letters,forms and reports;
  • TeacherCalendars;
  • Newsletters.

F.Appointmentsand Referrals for Children and Families

  • Assistin making, tracking and follow through of appointments and referrals;
  • Maintainand properly file information received for appointments & referrals.

G.CenterSupplies

Manage,order, shop for, and inventory center supplies, as assigned.

H.Trainingsand Meetings

  • Attendtrainings and / or meetings, as assigned;
  • Takeminutes of meetings and distribute, as assigned.

I.Answer phones anddirect calls appropriately.

J.Provide assistanceto parents, volunteers, and the general public as needed at the center.

K.Promote andactively facilitate good teamwork and team building with the entire centerstaff.

L.Maintain financialrecords as assigned.

M.Operateand maintain center office equipment.

II.CENTERSUPPORT

A.Assistcenter teams to ensure all services are available to enrolled children asassigned by the Site Manager.

B.Providebackup for bus monitor, nutrition, and classroom services.

C.Assistwith daily center cleaning and maintenance as needed.

III.INTERACTIONWITH CHILDREN, PARENTS, AND CO-WORKERS

A.Mustrelate in a positive, nurturing and supportive way, both verbally andphysically, and be sensitive to the needs of children, parents and co-workers.

B.Mustuse quick, safe reactions and responses in dealing with children or situationsthat involve children.

REQUIRED JOB SPECIFICATIONS

Education : Highschool diploma or equivalent required; post-secondary or technical educationand / or training preferred.

Certificationor Accreditation : CPR / First Aid Certification and Food HandlerCertification required.(Certifications may beobtained after hire.)

Experience : Minimum 1-year office assistant or general clerical experience preferred.

Essential Skills : Minimum 45 wpm keyboarding and computer proficiency to include MicrosoftOffice Suite and database programs.

Excellent interpersonal, written and verbal, communication skills;accurate and proficient filing and sorting skills (alphabetical andnumerical).

EssentialMental Abilities : Ability to multi-task, exercise goodjudgment, be flexible, organize, prioritize and be open to change.

Whilesupervising children, have the ability to demonstrate appropriate role modelingand maintain full and complete attention to children.

Ability to work as a team member and to be self-directed.Ability to maintain confidentiality.

EssentialPhysical Requirements : Ability to occasionally lift / carry up to 35lbs. a distance of 10 feet and to push / pull up to 35 lbs.

  • a distance of 10yards; sufficient mobility and range of motion to perform intermittentstanding, walking, balancing, stooping, bending, crouching, crawling, sittingon the floor, reaching, squatting or kneeling, and twisting;
  • ability to reactquickly to the physical actions of children; ability to occasionally performthe physical requirements of bus monitor;

sufficient vision and hearing toperform job duties; sufficient manual dexterity and eye-hand coordination toperform job duties.

Ability to drive amotor vehicle.

Exposureto Hazards : Repetitive motion tasks; sitting for longperiod of time; use of personal computer and other office equipment;

unpredictablechild and parent behavior; exposure to contagious conditions; hazardouschemicals; driving and riding in motor vehicles.

WorkingConditions : Indoor office and preschool centers, frequentlocal travel and occasional out of town travel.
