Essential Functions :
This position reports to the General Manager and has no direct or indirect reports
Minimal travel may be required.
The Customer Service Representative / Inside Sales is the focus of the Company's internal and external communications regarding all customer interaction.
The incumbent is responsible for quoting, order entry, scheduling, on time shipping, creating shipping documentation, customer complaints, quality and new customer recruitment.
The incumbent must maintain an overall view of the Company, its 's representatives and its customers to communicate accurately and timely.
Major goals include orders shipped complete, on time shipping and order pricing that generates profit for the Company. Incumbent must possess the ability to balance customer satisfaction against profitability and operating constraints, such as plant capacity and current backlog.
In addition to the human relation skills already outlined, the incumbent must be able to manage multiple priorities while maintaining a cooperative and objective attitude.
He / she must also work well with deadlines, since the customer's major perception of the Company is influenced by the incumbent's response time.
The position requires skill at working on multiple projects at the same time and accurately reporting data. Attention to detail in this area is critical, as is a working knowledge of computers, Microsoft Office, with emphasis on spreadsheet and email.
The incumbent requires the ability communicate professionally and tactfully with customers, and Valmont personnel at all levels of the business.
Communications skills, both oral and written, are extremely important. He / she must meet the challenge of understanding each person's unique perspective in order to negotiate for the company from a position of strength and respectful leadership.
The incumbent should possess the ability to make decisions that will produce the most positive results for both customer and company.
He / she must also be able to adapt to a fast paced environment and rapidly respond to different situations in order to maintain the level of productivity the position requires.
Communicate clearly on a regular basis with Valmont representatives and customers concerning Company progress on their projects and orders.
This function is designed to maintain customer confidence by taking a proactive approach in customer order handling and tracking in an effort to eliminate unforeseen issues.
Follow the customer communication timeline to guide general customer contact for information regarding inspection dates, delivery dates, receiving status, logistics, and other order related information.
Communicating with customers, making outbound calls to potential customers, and following up on leads.
Other Important Details about the Role :
Professional handling of incoming calls and e-mails related primarily, but not limited to order placement, price & delivery
Work in a fast-paced environment and rapidly respond to different situations as required
Follow the customer communication timeline, with responses to all calls and emails within the same day
Maintain updated customer files, including filing tasks
Heavy computer and keyboard usage
Manages multiple priorities and duties
Must have an ability to prioritize
Responsible for all order related tasks, including, but not limited to comparison of total purchase order terms to Valmont terms and pricing policy, calculating margins and commissions, order processing, scheduling input, order expediting through all internal departments, order entry into the computer systems, and credit-related functions
Process quotes and orders on a timely basis and monitor flow through various departments, including expediting when required
Maintain a complete understanding of the quote and order entry systems and all the process and procedure changes that occur
Insures recommended margin levels be met on all quotations
Communicates with customer, production and / or sales for resolution of any material nonconformance’s
Evaluates and re-prices quotes and orders when changes are made or negotiations take place
Expeditiously resolve problems as they occur both internally and externally by interacting with the production and accounting departments
Verify orders received against quote documents, enter and schedule orders and maintain open communication with representatives and customers as to the progress of orders
Manage and communicate specifics for all assigned quotations including the initial review and summarization through follow-up activities
Maintain a cooperative attitude in dealing with all departments of the company as a customer contact
Participate or lead on various divisional / departmental continuous improvement teams or projects
Cross-trains to cover other administrative functions
Required Qualifications of Every Candidate (Education, Experience, Knowledge, Skills and Abilities) :
Preferred Bachelors in relevant field or Associates Degree with 3+ years of experience or 5+ years of relevant quality experience
Ability to effectively present information and respond to questions from customers, production team and the General Manager
Strong knowledge of Microsoft Word, Excel, Outlook, PowerPoint, and Internet Explorer
Excellent customer service skills
Detail-oriented organizational skills
Ability to maintain customer needs with oversight to customer history
Passion and integrity who has the drive to excel and deliver exceptional results
Highly Qualified Candidates Will Also Possess These Qualifications :
Steel industry experience
Bachelor's Degree in related field
Ability to read and understand prints
Familiar with basic lean concepts used in problem solving
Working Environment and Physical Efforts :
Work is typically performed in an office setting, but some shop floor time is expected. The incumbent is regularly required to sit for extended periods of time, as well as talk and listen on the phone and in personal conversations or meetings.
Environment is fast paced and demanding most of the time. Minimal travel requirements for this position. The employee frequently is required to use hands to finger, handle, or feel and reach with hands and arms while working in the office with various files and forms and while working on the computer.
The employee is occasionally required to move about the office. Incumbent must utilize proper ergonomic safeguards such as monitor height and positions, keyboard location and height and proper wrists rests.
The employee must occasionally lift and / or move up to 25 pounds in working with large files, binders, and computer equipment.
Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and depth perception.
